Job Description

McShane Construction has an opportunity for a construction Project Administrator to provide clerical and financial recordkeeping support to enhance the efficiency and productivity of McShanes Auburn-based office and project management staff. In a team-based environment the Project Administrator will assist with overall office duties contract administration cost management and project communication on multi-family industrial and/or commercial projects. Career growth opportunities exist as individuals take on higher-level duties.


Receptionist Responsibilities:

  • Answer phones and greet visitors
  • Open distribute and send mail and overnight packages
  • Order and stock office supplies
  • Order business cards for employees
  • Update office calendar in Outlook
  • Bank deposits
  • Schedule office repairs and meet with service vendors

Administration Responsibilities:

  • Project insurance certificate tracking: obtain certificates from subcontractors (subs) create start up forms properly log on tracking forms save to company network and forward to third party management company
  • Create subcontracts and change orders in Project Management software. Manage routing and distribution tracking
  • Assist with subcontractor certified payroll on projects where Davis-Bacon is a requirement
  • Develop an understanding of cost code and reporting systems.
  • Special projects as assigned by Director of Administration

Project Communications:

  • Participate in the creation of any necessary project communication or correspondence with appropriate entities.
  • Assist in tracking all project documentation.
  • Become familiar with Owners and refer communications to the appropriate Project Manager or Project Engineer.
  • Handle project calls and emails.
Requirements
  • Associates degree or equivalent combination of education and experience
  • 2 years related construction administration experience
  • Data entry and data management experience required
  • CMiC or similar project management software experience preferred
  • Strong attention to detail and the ability to produce work that is accurate complete and error-free
  • Ability to communicate effectively and work productively with others
  • Ability to prioritize and manage multiple priorities and deadlines
  • Other success factors include reliability positive attitude professionalism and an eagerness to learn
  • Ability to use a computer the Internet and MicroSoft Word Excel and Outlook
