This position is responsible for assisting and supporting the Arlo Williamsburg Sales Team in daily sales operations in the sales/ events department capacity.
RESPONSIBILITIES AND AUTHORITIES:
Enter all inquiries accurately into Opera and the inquiry form; qualify and assign to the appropriate Sales Manager or Director.
Respond to client inquiries promptly and provide detailed information about the hotel amenities and local area.
Assist with sending proposals agreements and collateral on behalf of the Sales Team.
Support Sales Team with event bookings by managing follow-up tasks like gathering history deposits billing forms and credit details.
Track corporate/consortia production monthly.
Manage and respond to corporate RFPs in Lanyon and group RFPs in platforms like Cvent and Hotelplanner ensuring timely submissions.
Conduct client site inspections as needed.
Greet clients and visitors professionally; act as the first point of contact for the Sales & Events team.
Attend sales and departmental meetings; take meeting notes when requested
Prepare and distribute group resumes; monitor cutoff dates and manage room block pick-up.
Maintain organized sales files and update CRM (Opera) with account and contact info.
Prepare VIP guest amenities and special requests for group arrivals.
Keep sales kits and office supplies stocked for the team.
Assist with in-house events promotions and client receptions as needed.
Attend client events and industry functions as needed.
Upsell opportunities to maximize revenue.
Coordinate with Accounting Front Desk and F&B on billing and guest needs.
Maintain and distribute accurate documentation and support smooth file handoffs.
Individual and Group Reservations:
Manage individual and group reservations; input rooming lists and send confirmations.
Communicate rooming list VIP details and billing instructions to the planner.
Make reservation changes and cancellations as needed; identify and upgrade VIPs.
Ensure deposit guarantee and cancellation policies are followed.
Collect credit card authorizations and billing documentation before arrival.
Account Services:
Provide outstanding service to clients and support the Sales Team in account management.
Maintain accurate and detailed client profiles and production history.
Assist with preparing reports sales trip summaries and action plans as needed.
Participate in trade shows sales blitzes and marketing efforts as needed.
Problem Solving:
Resolve guest concerns and escalate as needed to leadership.
Support the Sales Team with reporting planning and forecasting as required.
Assist with sales documentation: contracts proposals event orders and correspondence as needed.
Maintain accurate bookings in Opera; update and organize client files.
Manage collateral inventory mailing lists and purchase orders.
Ensure compliance with hotel policies and support overall department goals.
REQUIREMENTS:
Education:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
Experience in and administrative office environment.
College or university degree.
A minimum of 1 year or more of experience as a is an asset but not required
Basic computer skills and knowledge of various discipline focused computer programs including a strong proficiency in Microsoft Office Opera Salesforce/ Delphi preferred but not required
Experience working in a fast paced innovative lifestyle brand is a plus with ability to move quickly by being adaptable proactive and ready to wear multiple hats is key to thriving
Knowledge:
Knowledge of general hotel operations.
Knowledge of general administrative duties.
Knowledge of Opera Cloud PMS Delphi S&C Lanyon and other hotel software systems
