Executive Assistant (Ops Associate Track)

THE ROLE: Virtual Assistant with a Growth Path into Operations We re looking for a full-time highly capable Executive Assistant with a background in real estate FinTech Proptech or an adjacent sector. This is not a typical admin support role its an on-ramp to a broader Operations Associate/Management function. All of our entry-level roles are deigned to be a pathway to Director-level roles all of which report directly to the Principal. Your primary responsibility will be to support the Founder directly ensuring that schedules files and communications remain streamlined. But just as important you ll refine and help implement SOPs across leasing investor relations vendor management and construction coordination. As our company scales so will your scope migrating into a more autonomous operations leadership role. This is an ideal opportunity for someone overqualified for a traditional Executive Assistant position but excited to earn deep exposure across acquisitions capital raising construction leasing and asset management all while continuing to build a high-impact high-efficiency operational platform from within. KEY RESPONSIBILITIES (Immediate Focus) - Manage the Founder s calendar task list call scheduling and email coordination - Organize Google Drive track investor follow-ups and maintain CRM hygiene (HubSpot). - Proof format and file documents (pitch decks contracts investment memos OM drafts) - Coordinate and facilitate meetings with prospective vendors investors and internal team members ensuring agenda items are addressed. - Assist Principal with collecting KPIs for Property Management division via assistant property manager leasing agent and community managers - Assist the Assistant Property Manager with leasing/renewal coordination on a stand-in basis - Support the Principal with technical assistance and responses to service vendors for property management. KEY RESPONSIBILITIES (Operations Track Transition) - Help with development & refinement of SOPs for leasing investor comms vendor tracking and team onboarding. - Ensure process simplicity accessibility and real-time team usage - Maintain living documentation of systems (e.g. Google Docs Loom walkthroughs checklists) - Coordinate cross-team handoffs (from acquisitions to rehab to lease-up) - Assist with database management for vendors maintenance techs leasing agents and partners. - Track contractor performance onboarding materials insurance/contract compliance and renewal cycles - Support hiring workflows for new team members as needed WHAT WE RE LOOKING FOR - 3 5 years in an operations role in real estate FinTech Proptech or an adjacent sector - You ve refined or maintained SOPs not just followed them - Able to work autonomously while commanding time and deliverables from people across the hierarchy. - Detail-driven resourceful and a confident digital organizer - Fluency with Google Workspace CRMs (HubSpot) Asana or similar project management tools - Strong written communication and documentation habits. - Excitement about solving affordable housing challenges through private-sector innovation - Based in the U.S. Mexico Canada or Latin America and available during Pacific/Mountain Time business hours WHY THIS ROLE MATTERS Youll gain exposure across every phase of the business while building the connective tissue that holds the whole operation together.
