Summary/Objective:
The Import Coordinator supervises import clearance for assigned ports including each step of the Customs and Food and Drug Administration process. The responsibility begins with the acknowledging receipt of in transit records for incoming shipments in the system followed by the filing of the Importer Security Filing FDA and Customs Border Patrol Entries while arranging the delivery of shipments to our entire warehouse network and/or directly to our customers nationwide.
Essential Functions:
- Acknowledge all international and domestic incoming shipments under GGG companies
- Maintain import files in accordance with Customs regulations (in case of an audit by Customs)
- Conduct periodically review of all open files and check with carriers for updates on ETA of all our incoming shipments and update the ETA in our system.
- Serve as the primary point of contact to our Customs brokers in relation to FDA and USDA product release.
- Provide hands on guidance and training to other incoming logistic staff.
- Ensure compliance with government (FDA and USDA) regulations.
- Ensure compliance with corporate goals policies procedures and objectives as required for sales support
- Collaborate with team and other departments in order to follow best practices and meet the departments goal.
- Participate in continuous process improvements to better support our Sales team.
- Efficiently communicate with all our truckers to assure timely pick up and delivery of all our cargos.
- Proactively ensure unnecessary expenses such Demurrage / Detention fees
- File ISF in a timely matter and follow up to ensure BILL ON FILE respond to avoid any penalties.
- Prepare and submit all documentation for customs entry submission and follow up until entry is fully released.
- Process all payments to our customs brokers shipping lines and freight forwarders.
- Audit and approve of trucking invoices.
- Use personal judgment and initiative to effectively and constructively find solutions to challenges and obstacles presented during the normal course of business.
- Learn and train on basic M3 functions related to imports
- Learn and train on basic Nexus functions related to imports
- Learn and know how to Edit and Correct Manifest in Nexus
- Other duties assigned as needed.
