Job Description

Summary of Duties: The primary responsibility of the Assistant Principals secretary/Guidance Secretary is to provide support to the Principal Assistant Principal students families and faculty and staff. He or she is responsible for student attendance data guidance department responsibilities data entry discipline records assistant principal records/schedule and other tasks as outlined below. The Assistant Principals Secretary/Guidance secretary must be flexible able to work with frequent interruptions and be Job Functions: Greet and assist visitors to the school. Handle telephone calls to the school responding to questions or referring the call as indicated. Perform general clerical functions such as photocopying faxing filing and preparing correspondence. Prepare electronic newsletters and announcements for parents. Respond to public requests for information. Maintain the Assistant Principals calendar; and assist with specific tasks or projects. Submit maintenance and repair requests to the central office. Notify the fire department of fire drills; record frequency of fire drills. Prepare a bullying and harassment report. Monitor accuracy of the public address system bells and telephone system. Assist other office secretaries as necessary. Assist with substitute teachers. Computer skills; use of a Mac and PC may be required. Knowledge of Microsoft Office and the Google oral and written communication skills. Strong interpersonal skills. Thorough knowledge of general office procedures including record keeping methods correspondence preparation and maintenance of filing systems. Maintain confidentiality of students administration faculty and organize and execute all tasks pertaining to awards night and awards day (Must be available to attend this after hours event and any others deemed necessary by the Principal)Communicate with Chartwells on all lunch balances. Communicate with families via phone email and mail to collect outstanding lunch and organize updates to ASPEN. Design and generate reports related to scheduling grading and course selection student transcripts including credit transfers and the following reports as needed: teacher and student schedules class rosters honor roll incomplete lists missing grades class rank and class rank report cards and upload with data entry with and plan awards day and night schedule certificates invitations with XELLO: Upload and create documents run and organize all files to Box verifications. Keeps record of College acceptances. Assist in organizing the college and career other duties as directed by the administrative team.
