We are thrilled to invite a dynamic and detail-oriented Travel Administrator to join our team! This isnt just a role; its an opportunity to make a direct impact on how we manage employee travel while maintaining cost efficiency compliance and excellent customer service. If you have over five years of experience in the travel industry and a knack for financial management and reconciliations we want you to help us ensure a seamless travel experience for all employees.
The ideal candidate would be based in the Reston VA area with a hybrid schedule out of our Reston office.
What your responsibilities will include:
In this role you will provide:
Travel Coordination & Customer Service:
Plan and coordinate employee travel arrangements including flights accommodations and transportation ensuring all bookings align with company policies and budgets.
Deliver unparalleled customer service by promptly addressing travel inquiries and resolving issues to guarantee a seamless travel experience for all employees.
Serve as the go-to expert for all travel-related questions ensuring a positive and stress-free experience for our employees.
Financial Management:
Perform monthly credit card reconciliations ensuring travel expenses are accurately recorded and reported.
Assist with travel budgets and prepare financial reports related to travel expenditures.
Collaborate with the finance team to ensure timely and accurate processing of traveler expense reports.
Administrative Support & Process Enhancements:
Maintain and manage travel documentation reports and itineraries using SharePoint Excel and PowerPoint.
Support efficient team collaboration by using SharePoint to streamline workflows and enhance travel operations.
Drive process improvements by identifying inefficiencies and collaborate with other corporate teams (such as such as Finance Operations Health Safey &
Security International Operations Events IT) to implement strategies to enhance travel administration efficiency.
Leverage data analytics tools to analyze travel spending trends identifying opportunities for cost savings and process optimization.
Compliance and Risk Management:
Ensure strict adherence to corporate travel policies safeguarding compliance for both travelers and the organization.
Proactively monitor travel advisories and communicate potential risks to employees ensuring their safety and preparedness.
What you bring to the table:
Basic Qualifications:
Bachelors degree in Business Administration Hospitality Travel Management or a related field and a minimum of 5 years of experience in the travel industry demonstrating exceptional customer service skills OR high school diploma and 9 years of experience
Proven expertise in financial management including credit card reconciliation and travel analytics with at least 1 years of experience.
1 years of experience using Concur Travel systems and navigating corporate travel policies effortlessly
Preferred Qualifications:
Proficiency in Excel PowerPoint and SharePoint with a strong emphasis on data analytics tools like PowerBI.
Demonstrated problem-solving skills particularly in resolving complex travel-related challenges.
Professional Skills:
Exceptional organizational and multitasking abilities ensuring no detail is overlooked.
Outstanding communication and interpersonal skills fostering positive relationships with team members and stakeholders.
A proactive solutions-focused mindset capable of working independently and collaboratively.
