What you will do:
Utica National is seeking an Executive Assistant to support members of our executive team. If youre energetic tech-savvy detail-oriented and excel at multitasking we want to hear from you!
- Calendar Management: Scheduling and coordinating meetings appointments and events to optimize the executives time.
- Administrative Tasks: Managing expenses maintaining records preparing agendas taking notes and following up on action items.
- Communication Handling: Acting as a gatekeeper by managing emails phone calls and other correspondence on behalf of the executive.
- Travel Coordination: Organizing travel arrangements including flights accommodations and itineraries.
- Document Preparation: Drafting editing and reviewing documents presentations and reports for accuracy and professionalism.
- Project Assistance: Supporting various projects by coordinating tasks gathering information and meeting deadlines.
- Confidentiality Maintenance: Managing sensitive information with high discretion and maintaining confidentiality.
- Problem-Solving: Addressing issues that arise and finding efficient solutions to support the executives goals.
- Relationship Building: Acting as a liaison between the executive and other team members clients or stakeholders.
- Policy Compliance: Ensuring the executive and team adhere to internal policies and compliance.
Additional Responsibilities:
- Event Planning: Coordinating company events conferences or team-building activities.
- Data Management: Creating and maintaining databases tracking performance metrics or generating reports.
- Budget Management: Assisting with budget planning expense tracking and financial reporting.
- Onboarding and Training: Helping onboard new employees and providing training on administrative processes or tools.
- Research and Analysis: Conducting research to support executive decisions or prepare for meetings and presentations.
- Performs other duties as assigned.
- Conforms with all corporate policies and procedures.
What you need:
- Associates or Bachelors Degree preferred.
- 3-5 years prior experience supporting a senior executive or team.
Salary Range: $65000 - $81600
The final salary to be paid and position within the internal salary range is reflective of the employees work experience their geographic location education certification(s) scope and responsibilities in the role and additional qualifications.
