Summary - Administrative Assistant/Receptionist
Job Description:
-Answer and direct incoming calls taking and delivering messages when necessary.
-Greets and directs visitors.
-Processes all incoming and outgoing mail and faxes including distribution proper postage etc.
-Prepares customs documents for inter-company shipments.
-Scans and updates work copies of orders to local share drive.
-Maintains Capacity Planning spreadsheet and uploads to local share drive.
-Separates invoices and forwards copies as required.
-Clerical duties such as typing correspondence and documents filing work orders purchase orders and Certificates of Analysis.
-Maintains and updates branch calendar.
-Orders office supplies.
-Reviews Visitor Log Book at the end of every business day to ensure all visitors have signed out.
-Reports security and/or health and safety infractions or potential infractions in a timely manner and to the appropriate contacts.
-Performs other related tasks that his/her supervisor deems necessary for the efficient operation of the department.
-Setting up for site events.
-Ordering & coordinating for catering the events.
Requirements:
-Proven experience as a receptionist or in a similar role is a plus.
-Strong communication and interpersonal skills.
-Proficient in Microsoft Office Suite (Outlook Word & Excel) and basic office equipment.
-Exceptional organizational and multitasking abilities.
-Professional appearance and demeanor.
-1-2 years of office experience
-High school diploma or GED equivalent
