Job Summary: The Courtesy Vehicle Program (CVP) Coordinator is responsible for managing the dealerships fleet of loaner or courtesy vehicles. This role ensures that vehicles are clean properly maintained and efficiently assigned to customers while they wait for their vehicles to be serviced. The CVP Coordinator acts as a liaison between the service department customers and dealership management to deliver a seamless and professional guest experience.

Key Responsibilities:

  • Coordinate the checkin/checkout process for all loaner vehicles.
  • Maintain accurate records of vehicle usage mileage fuel levels and condition at both dispatch and return.
  • Schedule vehicle availability based on service appointments and demand.
  • Ensure all CVP vehicles are cleaned fueled and maintained regularly.
  • Monitor and report any damages maintenance needs or overdue returns to management.
  • Manage fleet inventory and work with management on vehicle rotations or replacements.
  • Comply with manufacturer program guidelines and ensure loaner records meet audit standards.
  • Assist with preparing rental agreements obtaining customer drivers license and insurance verification.
  • Educate customers on vehicle features and answer basic operational questions.
  • Collaborate with the service team to identify customers eligible for a loaner vehicle based on service type and availability.
  • Report usage trends vehicle status and customer feedback to management on a regular basis.

Qualifications:

  • High school diploma or equivalent; associate degree preferred.
  • Previous customer service or fleet management experience preferred.
  • Strong organizational and communication skills.
  • Valid drivers license and clean driving record.
  • Ability to multitask and work in a fastpaced environment.
  • Familiarity with vehicle features and operations.

Working Conditions:

  • Primarily works onsite at the dealership.
  • Frequent interaction with customers and service staff.
  • May require standing walking and occasional lifting of up to 25 lbs.
