The Executive Assistant to the Head of Schools serves to fulfill the mission of the Rock Academy by proactively supporting the objectives and goals of the Head of School by helping to manage schedules communications projects and events.
Distinguishing Features of Position
The employee in this position is responsible for the efficient and effective performance of full range multifaceted tasks including but not limited to effective public relations and communications positive relationship development efficient customer service complex financial budgeting office detail work and processing numerous requests often simultaneously. The employee also provides coordination of activities and routine projects and works with sensitive and confidential information and correspondence. Minimal supervision is received. The employee will collaboratively work with multiple stakeholders including administration human resources faculty and other staff as well as prospective families and donors. The employee is expected to exercise initiative and judgment in planning and organizing work efficiently accomplishing work assignments handling work problems and handling confidential matters.
Essential Duties and Responsibilities
Administrative Coordination
Prepare and track budgets for all schools departments special initiatives and fundraisers creating accurate reports for the Head of Schools review.
Serve as the primary keeper of the schools master calendar ensuring all events meetings and holidays are up to date and clearly communicated.
Manage the Weekly Warrior newsletter compiling timely and engaging content for internal and external stakeholders.
Organize and coordinate PAC (Parent Advisory Community) meetings including scheduling communication and documentation.
Event Planning & Staff Engagement
Lead the planning and execution of schoolwide staff events including the annual retreat Christmas celebration endofyear gatherings and professional development breakfasts (EEC12).
Ensure events run smoothly and foster a strong sense of community and appreciation among faculty and staff.
Fundraising & Operations
Coordinate the annual THON fundraiser including communications volunteer coordination and tracking contributions.
Liaise with Lands End and manage school uniform operations to ensure a streamlined process for families.
Ensure proper follow up with donors to the Rock Academy with thank you notes card etc. and tax receipts.
Partner with Head of Schools to set up meetings and events with potential donors. Accreditation & Project Support
Serve as the logistics and communications lead for WASC accreditation efforts supporting documentation timelines and faculty collaboration.
Provide direct administrative support to the Head of School including calendar management meeting scheduling and initiative followup.
Assist in hosting Mens Prayer and other leadershipfocused gatherings.
Qualifications:
3 years of administrative or event coordination experience preferably in a school or nonprofit environment
Excellent organizational and project management skills
Strong interpersonal and communication abilities both written and verbal
Proficient in Google Workspace Microsoft Office and basic budgeting tools
Able to manage multiple priorities with attention to detail and grace under pressure
A heart for serving others and contributing to a Christcentered educational mission
