We provide services to both Public Works/Engineering and Building Departments of municipalities throughout the state. These services include but are not limited to: Construction Management; Engineering/Civil Inspections; Building Mechanical Electrical and Plumbing Inspections; Plan Check; Planning; and Code Compliance. In addition we provide consulting services to private owners within these same scopes of work.


Proposal Coordinator

4LEAF is seeking a full time Proposal Coordinator for our Pleasanton CA Construction Management / Civil Infrastructure group. Candidates must have excellent verbal and written communication skills proven experience in marketing content management and strong project management time management and organizational skills. Working in a collaborative environment the Proposal Coordinator will focus on proposal development and management of related marketing content.

The ideal person for this position will be able to maintain and enhance a professional and efficient marketing environment and have a passion for marketing. The Proposal Coordinator produces and ensures the delivery of top quality ontime and effective proposals qualification packages presentations etc. Assists the overall pursuit process to ensure that the overall theme technical scope staff qualifications and project experience are accurate up to date well written and graphically pleasing. Assists with the development design coordination production editing proofing and delivery of highquality submittals and accompanying marketing materials. Provides input and collaboration to help establish priorities and protocols for responding to Request for Proposals (RFPs) and other marketingrelated enquiries. Provides the initial mockup of proposals presentations and other marketing activities to the Proposal Manager in an accurate and timely manner.


RESPONSIBILITIES

Proposal Development

  • Efficiently manage the proposal development process from RFP receipt to proposal delivery against deadlines and with minimal supervision.
  • Review and interpret RFPs to identify required content elements win themes and strategic messages.
  • Manage the gathering of proposal content by coordinating and communicating effectively with contributors to obtain and edit content.
  • Develop original proposal content as needed.
  • Draft proposals manage reviews by stakeholders and subject matter experts and obtain final proposal approvals.
  • Perform content assembly editing formatting reviews and production.
  • Ensure that all RFP technical requirements are met proposals are tailored to prospective clients needs content is relevant and accurate and all text and graphical elements adhere to templates brand guidelines and visual presentation and communication standards.

Content and Data Management

  • Assist subject matter experts with the creation of reusable marketing information for use in proposals and other media.
  • Through factchecking version control and related quality control functions maintain the accuracy and currency of proposal content and other marketing information including staff qualifications project descriptions value messaging client data photographs and graphical elements.
  • Assist with the development and/or implementation of internal software tools and processes to maintain the accuracy and integrity of all marketing content and data.
  • Maintain Microsoft Word PowerPoint Excel and Adobe InDesign templates.

Other Responsibilities

  • Coordinate marketing events sponsorships and use of promotional materials.
  • Assist with the development of marketing communications projects including print collateral advertising web site content email messaging/campaigns social media and presentations.
  • Utilize creative writing skills to craft engaging and impactful marketing messages.
  • Update marketing tracking systems and records.
  • Maintain inventory of proposal production materials marketing collateral and promotional items.
  • Perform competitive research as directed.
Requirements

QUALIFICATIONS / EXPERIENCE

  • Bachelors degree preferably in English Marketing Journalism or Communications.
  • 3 to 5 years of marketing experience preferably for B2B or B2G professional services.
  • 3 to 5 years in a technical writer advertising copy editor or similar role will be considered as a substitute.
  • Knowledgeable of components utilized in Civil Infrastructure and Public Works projects.
  • Proven project management skills and the ability to multitask prioritize tasks problemsolve and work effectively with others to deliver high quality results within prescribed deadlines.
  • Highly organized selfdirected selfstarting and proactive.
  • Outstanding interpersonal skills.
  • Excellent verbal and written communication skills including strong editing and content organization abilities.
  • Business and technical writing experience combined with creative and persuasive writing skills.
  • Proficiency with Microsoft Office applications (Word Excel PowerPoint Publisher and Outlook)
  • Experience with Microsoft Word templates themes styles and advanced formatting functions.
  • Experience with maintaining digital assets and marketing data utilizing CRM software.
  • Knowledge of visual design principles.
  • Experience with Adobe Creative Suite products including InDesign Illustrator and Photoshop.

WORKING CONDITIONS

  • General office environment.
  • Regularly requires working in a seated position at workstation for extended periods.
  • Occasionally may require lifting up to 20lbs.

Job Type: FullTime MondayFriday 8am5pm
