Looking for a role where your work truly matters Join our supportive and effective Human Resources Team at JCC Greater Boston! Under the direction of the Director of Human Resources the Human Resources (HR) Coordinator is a key member of the HR team and is primarily responsible for performing general daytoday transactions to support HR operations in a manner that maintains a productive workflow and provides vital support to the HR team managers and staff across the organization. As the initial point of contact for employees this role is performed on site and is primarily responsible for triaging requests for HR services providing initial timely responses to email calls and service requests in our people and service focused environment.

Interacting with all levels of employees and management and building strong relationships with all stakeholders the HR Coordinator ensures that employees and managers receive accurate and clear information and experience coordinated HR services aligned with established best practices and policies. Deploying a balance of flexibility graciousness results orientation drive and discipline the HR Coordinator primarily ensures transactions occur timely and effectively and participates and assists in the administration and organization of various HR services procedures and special projects as assigned.

Primary responsibilities include and are not limited to:

Serving as the initial point of contact for employees and general HR inquiries:

  • Responds to general HR related questions; regularly monitors and responds to department email inbox and mail providing timely acknowledgement and forwarding request to the proper HR representative for resolution.
  • Coordinates communications with relevant team members managers and staff ensuring efficient and effective workflow.
  • Be available and gracious taking the time to carefully listen and deeply understand the employees needs and with good judgement provide accurate answers or be able to triage and foster solutions for more complex needs
  • Acts with good sense of confidentiality; effectively pull in relevant team member(s) or the Director to concerns or issues.

Supporting the employment function:

  • Supports the hiring process and creates offer letters as assigned.
  • Processes new hires/rehires and employment changes in the HRIS system; performs accurate data entry.
  • Supports employment paperwork onboarding process using HRIS System.
  • Conducts various verifications as assigned.
  • Performs regular and cyclical I9 Audits; ensures forms are executed in compliance with Federal regulations.
  • Prepares and issues badges; maintains department inventory and orders items needed.
  • Coordinate processing of resignations and ensures effective exchange of information for those who need to know.
  • Partner with the HR Generalist to support the processing of preemployment background reviews upon request.
  • Support the collection retention and tracking of performance assessment and related training.
  • Support the process of responding to employment verification requests aligned with policy and practice.

Support effective processing of Unemployment Claims

  • Partner with the HR generalist to respond to Unemployment Claims and coordinates communications; provides timely and accurate information ensuring claims deadlines are met.
  • Assist to thoroughly gathering required information to effectively respond to claims including gathering wage information and reason for termination in order to respond to Unemployment Claims.

Coordinates and supports operational systems with transactional and administrative activities

  • Manages incoming and outgoing deliveries and mailings; ensuring checks are mailed on an accurate and timely basis.
  • Tracking and processing data as assigned.
  • Initiating supply orders and maintaining supplies for name badges and other office activities.
  • Maintains data in appropriate files databases and records.
  • Ensures forms and other critical employment records are processed and retained according to current systems.
  • Assists with and processes billing requests; prepares purchase orders and maintains records.
  • Supports audit requests as needed gathering requested documents.
  • Maintains and organizes HR/Payroll employee files; ensures records retention is organized and compliant.
  • Provides support to ensure good coordination of HR workflows; provides organization and improvement suggestions.
  • Supports all HR functions and when executing work with an understanding of the need to maintain confidentiality
  • Coordinates processes and workflows or advising employees to ensure that all action aligns with current protocol.

  • Initiates and accepts new related general HR work for continuous skill and knowledge development

  • Actively participate as an essential member of the Human Resources and management team.
  • Support JCC Greater Bostons mission vision and values of belonging joyfulness collaboration and transformation including through role modeling.
  • Enthusiastically representing the organization model excellence and achievement.
  • Attend JCCGB All Staff meetings and other meetings as assigned.
  • Other duties as assigned.

Supervisory Responsibilities: None

This is a regular parttime 20 hour per week nonexempt position. Offering great perks this is a hybrid position; some essential duties may be performed remotely while some requires inperson/onsite presence and a competitive starting pay rate of $21.00 $26.00 per hour.

The pay rate offered will ultimately be determined by relevant qualifications experience and JCCs internal equity.

Requirements

Education and Experience: Requires an Associates Degree in Business Communications or related field and 3 years administrative experience in a professional office setting (preferably in Human Resources). A Bachelors degree and at least 1 year of Human Resources experience is strongly preferred. Equivalent combination of education and experience may be substituted at the JCCs discretion to meet minimum criteria. Must be adept with software and systems such as HRIS payroll and benefits administration platforms and have strong computer skills with proficiency in Microsoft Suite Webbased products (Outlook Word Excel PowerPoint).

Skills and Abilities:

Confidentiality and Discretion: Must have the ability to maintain confidentiality and to effectively discern when to divulge employee information with the understanding of what information is privileged and confidential and who should and should not know the information

Excellent organizational and administrative skills attention to detail and time management skills

Ability to handle multiple tasks and requests and determine priorities maintaining a positive and helpful attitude

Superb interpersonal and active listening skills

Excellent customer services skills; ability to manage situations effectively and diplomatically and ask for help guidance or clarification when needed

Agile with the ability to adapt to evolving and changing circumstances and needs

Excellent communications skills (written and verbal)

Must be able to work well with others building/sustaining strong collaborative relationships

Physical Requirements: Able to focus and produce in a busy dynamic and sometimes noisy environment involving multiple tasks and priorities. Able to lift and carry objects weighing up to 30 pounds (supplies files archive boxes etc.). Able to sit for long periods of time and able to bend crouch reach to manage physical personnel files. This is a hybrid position; some essential duties may be performed remotely while some requires inperson/onsite presence.
