Job Description

Job Responsibilities

The Administrative Coordinator serves as the primary administrative support to the agencys Capacity Building Team which includes Communications Data Evaluation and
Research; Grantmaking and Development; Government Affairs; Human Resources. This role provides essential administrative and programmatic support to ensure these teams function smoothly and efficiently. The coordinator is responsible for preparing and coordinating procurements travel and reimbursements and managing supplies and
materials. They also assist with planning and organizing meetings webinars trainings and other events. In this position specific job functions include but are not limited to the following:
  • Procurement and Financial Coordination: Serves as the single point of contact for all procurementrelated activities for the Capacity Building Team: prepares and coordinates procurement requests obtains vendor quotes manages approval processes and oversees ordering and invoicing including for all printrelated services; liaises with the agencys finance and procurement teams to ensure timely processing of purchases and payments; prepares and submits travel requests and reimbursements in compliance with agency and state guidelines; ensures invoices for goods and services are tracked verified and processed for payment.
  • Administrative and Programmatic Support: Provides primary administrative support to the Capacity Building Team including scheduling meetings preparing agendas and minutes compiling packets and organizing mailings and shipments; supports general administrative workflows including invoice development document management file maintenance and data entry; In collaboration with event coordinator assists with the planning and execution of meetings trainings webinars and other events including logistics materials and followup.
  • HR Support: Support HR Manager by supporting routine administrative needs (providing forms to employees preparing new employee handbooks and welcome bags etc.); coordinating employment related documents for new staff AmeriCorps members and AmeriCorps VISTAS; assist with maintaining electronic personnel files; maintain tracking spreadsheet for EPMS and planning documents.
  • Management of Documents Supplies and Materials: Maintains inventory of office supplies program materials and printed documents. Coordinates timely purchase production and distribution to support team operations and events.
  • Other duties as assigned.

Minimum and Additional Requirements

A high school diploma and 6 years of relevant high level clerical experience in business management public administration administrative services or nonprofit. associates degree and 4 years of listed experience; or a bachelors degree. A cover Letter must be submitted to be considered.

Additional Requirements:

  • Knowledge of the policies and practices of highlevel administrative procedures in state government or nonprofit.
  • Effective organizational and analytical skills.
  • Excellent verbal and written communication skills.
  • Ability to exercise mature judgment prioritize tasks maintain confidentiality and promote and support team cohesion.
  • Strong technological skills and proficiency in Microsoft Office Suite and Adobe Acrobat Pro software usage.
  • Must be able to communicate effectively and professionally with internal and external partners provide responsive support and offer referrals to appropriate agency staff or resources for more complex needs.
  • This position will require limited instate travel and limited after hour assignments for events.
  • Must possess a valid drivers license and vehicle to use in performance of job.
  • Ability to lift up to 45 pounds.
