POSITION SPECIFICS
The Education Policy Studies Department is seeking to hire an experienced administrative professional as an Academic Program Coordinator (filled at the level of Intermediate Support).
The Academic Program Coordinator will ensure smooth operations within the department by collaborating with and supporting faculty staff and students; responding to program inquiries; assisting with academic procedures; maintaining records; and managing applications.
This position is also vital to the Education Policy Studies Department by liaising with university offices to support faculty and students as well as coordinating and planning program related events including orientations receptions and workshops.
More specific responsibilities of the Academic Program Coordinator include but are not limited to:
Student Support Service:
Maintain and update student records tracking academic progress and milestones.
Assist with course scheduling academic procedures and resolving student issues.
Monitor degree progress and manage academic forms.
Applicant Processing Coordination
Process and track applications for multiple graduate programs and certificates.
Organize applicant files and support Graduate Admissions Committees.
Communicate with prospective students and manage admissions decisions in GRADS (Penn States Graduate Admissions Decision System).
Administrative Support
Serve as first point of contact for students faculty and visitors.
Provide logistical and administrative support to faculty and department leadership.
Manage course scheduling room bookings and departmental communications.
Graduate School & University Liaison
Submit exam results and committee forms; schedule key doctoral milestones.
Ensure accurate transcript records and graduation lists.
Maintain Scholarship and Research Integrity (SARI) compliance and coordinate with Global Programs for international students.
Promotion & Tenure Support
Prepare and track documents for tenure sabbatical and promotion reviews.
Guide faculty through procedures to ensure timely and compliant submissions.
Schedule career conferences and maintain confidentiality throughout the process.
Event Coordination & Financial Processing
Plan and coordinate recruitment orientation celebrations and academic events.
Manage speaker series and graduate research showcases.
Process purchasing transactions and collaborate on endowmentrelated finances.
Another duty of this position will be to develop update and maintain program resources such as handbooks website information and databases.
The Academic Program Coordinator will work independently on complex projects and utilize organizational skills to complete the responsibilities of this position.
After training the Academic Program Coordinator will also work with various software including Microsoft Office 365 SAP Concur and Activity Insight (to assist faculty members with collecting organizing and displaying data) as well as the following which are specific to Penn State:
iTwo (webbased tool used for data access analysis and distribution)
LionPATH (Penn States student information system)
Penn States Graduate Admissions Decision System (GRADS)
Qualifications:
Applicants must have excellent communication (both verbal and written) interpersonal and attention to detail skills.
MINIMUM EDUCATION WORK EXPERIENCE & REQUIRED CERTIFICATIONS
General Equivalency Diploma (GED) or High School (HS) 2 years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: NoneAdditional Information:
This position will report to the Administrative Support Manager in the Department of Education Policy Studies.

SALARY & BENEFITS
