Position Purpose
Under the direct supervision of the principal or other administrator provides clerical secretarial and administrative support to school administrators at a school site. This role involves conveying information regarding school functions and procedures while supporting a broad array of services provided to students parents instructional and support employees.
Essential Functions
- Prepares copies and distributes notices memoranda or other correspondence to inform school employees about activities events or other workrelated matters.
- Assists in planning and scheduling school events and activities and maintains the school calendar for the purpose of coordinating and scheduling events such as orientation open house field trips sporting events assemblies and conferences.
- Assists in maintaining documents files and records to provide uptodate references and an audit trail for compliance.
- Maintains and monitors employee leave records.
- Assists in maintaining inventories of supplies and materials to ensure availability.
- Assists visitors to the office including students parents substitute teachers and others.
- Answers telephone calls and provides information and assistance to callers.
- Distributes incoming mail appropriately and sends outgoing mail.
- Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Responds to inquiries from students parents and employees providing information facilitating communication among parties and/or providing direction.
Additional Duties
- Performs other related duties as assigned to ensure the efficient and effective functioning of the school.

Equipment
- Uses standard office equipment such as personal computers copy machines fax machines and telephones.
Travel Requirements
- Limited travel to and from meetings may be required.
Knowledge Skills and Abilities
- Strong verbal and written communication skills for describing problems and reporting to supervisor.
- Ability to build and maintain cooperative working relationships.
- Skilled in following written or oral instructions.
- Proficient in basic arithmetic operations.
- Knowledgeable in using personal computers Internet and software (e.g. Word Excel PowerPoint email).
- Strong problemsolving skills and the ability to work with diverse individuals.
- Capable of processing paperwork accurately and maintaining confidentiality.
- Excellent organizational and time management skills.
- Familiar with office management procedures.
Qualification Profile
Any combination of education and experience providing the required skills and knowledge for successful performance would be qualifying. Typical qualifications include:
- Graduation from high school.
- Associates Degree preferred.
- Successful experience with office management preferred.
