Job Title: Archives Intern

Status: Parttime; nonexempt

Salary: $25/hr up to 20 hours per week for one academic semester

Description

Poly is seeking a meticulous and organized Archives Intern to support the growing archival needs of our institution. The Archives Intern will assist in managing preserving processing digitizing and providing access to our institutions archival collections.



Responsibilities

Specific duties include but are not limited to the following:

  • Digitization: Assist in a largescale digitization project consisting of historical institutional documents and ephemera;
  • Collection Management: Assist in the acquisition cataloging and classification of archival materials including documents photographs and A/V materials and digital files. Rehouse collections into archival enclosures;
  • Organization: Organize and arrange archival materials according to established guidelines and best practices;
  • Data Entry and Maintenance: Update and maintain archival databases and catalog records creating metadata where needed and ensuring data accuracy and integrity;
  • Aid in the uploading and publishing of digitized materials and collections to an archives hosting platform.
  • Engage robustly in fostering diversity equity and inclusion to promote a healthy learning environment;
  • Willingness to take on other duties as needed.

Physical requirements and work environment

  • Work in an environment dealing with a wide variety of challenges and deadlines as well as a diverse array of contacts;
  • Work at a desk and computer;
  • Work primarily in a traditional climatecontrolled environment;
  • Physical Requirements: Ability to lift and carry archival materials (up to 50 lbs) and perform tasks involving standing bending reaching walking up and down stairs and carrying items for extended distances.
  • Work Conditions: The bulk of work will be done in the Upper School Library archives room with occasional need to work in various storage areas across the Poly campus. May involve working with materials that require special handling.

Qualifications

  • Minimum Degree Requirement: Current Graduate Level MLIS Student
  • Demonstrated knowledge of or recent coursework in processing organization and preservation of both physical and digital archival collections. Handson experience preferred.
  • Ability to work independently maintaining a high level of detail and accuracy in management and completion of tasks.
  • Familiarity with basic software and tools such as Google Application Suite programs library and archival management platforms file management systems and basic office technology.
  • Demonstrated experience creating inclusive learning environments and opportunities
