About Us:
The West Daly Regional Council covers 14000 square kilometres and is located about 300 to 420 kilometres southwest of Darwin. The area is mainly rural with three Indigenous communities at Peppimenarti Nganmarriyanga and Wadeye which are managed by West Daly Regional Council (Council).

Position Summary:
The People and Administration Coordinator is responsible for delivering highquality administrative and customer service support with a strong focus on coordination assistance and ensuring the smooth daytoday operations in the Wadeye Office and support to Palumpa and Peppimenarti Offices where required.
Key Duties and Responsibilities:
Administrative Support:
- Provide administrative assistance to teams ensuring smooth daytoday operations.
- Address inquiries from internal and external stakeholders promptly and professionally.
- Ensure the efficient operation of tasks such as recordkeeping drafting correspondence filing and handling telephone calls.
- Coordinate logistics for hotel bookings conference rooms accommodations vehicle rentals and airport transfers.
- Oversee the ordering and receiving of stock for the office as required.
- Manage stationery and other supplies as required.
- Organise catering services as required.
- Setting up the Boardroom and conferencing facilities for booked meetings when required.
Payroll and Financial Processing:
- Assisting the Council Office Civil Community Safety Patrol and Workshop teams with the payroll processes
- Review and validate timecards ensuring accurate transfer of data onto timesheets and completion of necessary paperwork.
- Collate and submit required documents including leave forms medical paperwork for payroll processing.
- Process travel allowances reimbursements of flights and accommodations for managers and supervisors.
- Assist and generate purchase requisitions review invoices and assist settlement of pending payments.
- Providing Admin Support including procurement requirements for an additional Homelands Coordinator; the Chief Executive Officer and Executives that have an ongoing presence in Wadeye.
Funeral Coordination:
- Lead the coordination of funeral arrangements for the Wadeye and Palumpa communities including;
- Completing forms with families and mediating funeral arrangements.
- Scheduling funeral dates in coordination with all necessary services (Transport Clinic priest Territory Funeral Shop and Murin Air etc.).
- Overseeing coffin design proofing and ordering.
- Ensure smooth coordination with all related services and maintain clear communication with the bereaved families.
4. Communication and IT Support:
- Provide basic IT support to staff in Wadeye and Palumpa including assistance with computers phones and other processes.
- The ongoing support provided to the Peppimenarti site while there is not an Admin Officer employed.
- Coverage for the Palumpa and Peppimenarti sites during periods of leave of admin staff.
- Manage software applications such as Employment Hero Xero and support other IT needs as they arise.
- Vehicle Fleet/Fleetio Management
5. People and Culture:
- Collaborate with the People and Culture team to ensure timely completion of recruitment onboarding performance reviews probation reviews and other basic People and Culture matters.
- Coordinate with the People and Culture Officer to ensure timely completion of Working with Children Checks and Police Checks for all necessary individuals.
- Provide training for local staff.
6. Other Duties:
- Coordinate cleaning duties as required.
- Supervision and setting the schedule for the cleaners.
- Support other community sites as needed.
- Other duties commensurate with skills and experience as directed by the Manager.
About You
To be successful in the role you must have:
- Demonstrated administrative and customer service experience;
- Experienced with Microsoft Office Suite and the ability to utilise a range of other computer programs to produce reports and correspondence;
- Current National Criminal History Check;
- Working with Children (OCHRE) Card;
- Current Northern Territory Drivers Licence;
- Ability to travel by 4WD and light aircraft and stay overnight when required.
- Demonstrated high level interpersonal verbal and written communication skills;
- Ability to be discreet and maintain confidentiality;
- Proven ability to participate as part of a team and to work cooperatively with Council staff;
- Knowledge of the West Daly Region communities;
- Demonstrated time management and organisational skills including an ability to juggle multiple priorities and complete tasks within required timeframes work independently and flexibly exercise initiative and attend to detail;
- Ability to work with a culturally diverse range of people.
