About the role
We are seeking a strategic and detailoriented Registrar to lead and manage student administration and oversee the Groups student information systems enrolment processes and timetable planning ensuring a high degree of accuracy and integrity.
In addition to assessing course completions preparing graduand lists for approval and issuing qualifications the Registrar will focus on compiling analysing and reporting on student data alongside ensuring compliance with internal and external policies and requirements
Key responsibilities include but are not limited to
Enrolments
- Lead the HE and VET student administration teams
- Oversee and continuously improve the enrolment process for new and continuing students
- Assess and verify course completions prepare lists of graduands and oversee issuance of qualifications/awards
- Ensure that student results are finalised accurately recorded and released to students in a timely manner
- Collaborate with relevant internal stakeholders in relation to student graduations
- Manage the suite of current student administrative processes (eg. suspension cancellation course transitions) to ensure students needs are met and accurate records are maintained
- Implement and manage specific international student administrative processes (eg. attendance monitoring Intention to Report)
Timetabling
- Lead and manage the timetabling team
- Develop and oversee the implementation of an efficient timetable process across the Groups Higher Education and VET businesses including effective stakeholder collaboration
- Oversee the development and timely publication of annual and per study period timetables providing students sufficient notice to plan their study and to optimise progression.
- Ensure campus and class size optimisation are embedded at the core of the timetabling process
- Develop an approach to timetabling including software solutions that supports the groups growth plans
Student data and reporting
- Be the owner of the Groups Student Information/Management Systems (SIS) and oversee configuration data integration user access training and continuous improvement
- Ensure student records are maintained securely and in accordance with relevant privacy laws and organisational data governance policies
- Oversee the setup of new courses in the SIS
- Compile analyse and report on student data including attrition progression and completion for the Groups various management and governance meetings as required
- Manage and meet all deadlines for data reporting to third parties (eg. TEQSA ASQA TCSI DOE etc.).
Team Management
- Lead and manage the Student Administration and Timetabling teams including recruitment goal setting and performance feedback
- Foster a highperformance culture by providing clear goals and regular feedback
- Provide mentoring and coaching support for team members to assist in their development
- Adhere to all People and Culture processes ensuring engagement and retention of team members
- Embrace and model the fundamental values of the Group and ensure these characteristics are consistently applied across decisionmaking.

Education experience and skills
- Bachelors degree or higher qualification preferred
- At least 10 years experience in a student servicerelated role within a higher education environment including at least 5 years in a leadership role
- Experience in operational coordination management and leadership in a similar role preferred
- Experience in VET sector is desirable
- Experience in data management including reporting and analysis
- Experience in developing leading and managing highperformance teams
- High attention to detail and resultsfocused
- Demonstrated understanding of requirements associated with regulatory frameworks especially the Higher Education Standards Framework (Threshold Standards) 2021 and National Code of Practice for Providers of Education and Training to Overseas Students 2018
- Excellent IT literacy particularly in the Microsoft Office suite
- Experience using and maintaining databases (eg. Student Management/Information Systems PRISMS)
- Experience with customer relationship management / contact centre software (eg. Zendesk)
- Positive attitude and ability to think creatively
- Cross cultural awareness and ability to nurture a team
- Excellent written and oral communication
- Excellent interpersonal skills with the ability to work autonomously and as part of a team
