Position Overview

The Receptionist Officer serves as the first impression for a corporate headquarters greeting clients vendors and guests while ensuring smooth and secure access to the facility. This role blends hospitality administrative support and site access control requiring an individual who is professional personable and highly organized.

Key Responsibilities

  • Greet and assist guests entering the corporate headquarters with a welcoming and polished demeanor.
  • Monitor visitor access issue temporary badges and maintain accurate visitor logs in accordance with client protocol.
  • Coordinate with office/corporate staff to announce and direct guests including VIPs vendors and service partners.
  • Answer incoming phone calls route them appropriately and provide basic information.
  • Accept and distribute packages or deliveries to appropriate personnel.
  • Support functions such as event checkin executive guest arrival coordination or vendor service scheduling.
  • Maintain the lobby and reception area to ensure it is clean organized and professional in appearance.
  • Assist with appointment confirmations and meeting room coordination.
  • Observe and report any unusual activity or safety concerns to site leadership or appropriate personnel.
  • Provide general administrative support such as data entry light filing or assisting with office communication as needed.

Minimum Qualifications

  • High school diploma or GED required.
  • At least 18 years of age.
  • Customer service or frontdesk experience in a corporate hospitality or retail setting preferred.
  • Strong verbal and written communication skills.
  • Professional appearance and demeanor with a positive helpful attitude.
  • Basic computer proficiency (email Microsoft Office TEAMs visitor checkin systems).
  • Ability to manage multiple tasks while maintaining composure and professionalism.
  • Must meet licensing requirements for security roles.
  • Successful completion of a background check and drug screening.

Preferred Skills

  • Hospitality experience in a corporate setting strongly preferred.
  • Ability to handle sensitive information discreetly and communicate professionally.

Working Conditions

  • Must be able to sit or stand at a front desk station for extended periods.
  • Occasional walking or escorting of guests to offices or meeting areas.
  • Must be presentable at all times and follow the corporate office and business attire and grooming standards.
