The Operations Executive plays a vital role in supporting the operational execution of exhibitions and events organized by Informa Markets Philippines. This position is responsible for managing supplier relationships coordinating venue and logistical requirements and ensuring smooth onsite delivery. The role involves close collaboration with project teams to ensure operational excellence from planning to postevent reporting.
Supplier & Venue Coordination
- Recommend evaluate and appoint suitable suppliers in accordance with project needs and company standards.
- Serve as the primary liaison for venue providers and ensure all operational requirements are fulfilled.
- Conduct supplier briefings and site inspections to ensure compliance with expectations.
Project & Exhibitor Support
- Collaborate with project teams to identify plan and fulfill operational requirements for each event.
- Support exhibitors by addressing operational inquiries and facilitating logistical arrangements.
- Develop detailed operations manuals and timelines in coordination with project stakeholders.
OnSite Operations
- Support the onsite operations setup and dismantling in alignment with project schedules.
- Supervise supplier and venue performance during the event.
- Coordinate manpower allocation and ensure adequate staffing levels for all operational tasks.
- Conduct onsite meetings with suppliers and venues to address realtime issues.
Reporting & Documentation
- Compile comprehensive postshow operational reports including key learnings and improvement points.
- Manage and reconcile all operational invoices and related documentation for finance processing.
General Support
- Attend internal planning and review meetings as required.
- Support ad hoc operational tasks and initiatives as delegated by the Operations Manager or project teams.
Qualifications :
- Diploma or degree holder in any field
- Minimum of degree or 2 years experience in organizing events / hospitality industry
- Excellent multitasking and organizational skills
- Must be able to work efficiently and calmly under pressure
- Excellent attention to details
- Excellent time management
- Flexibility and willingness to work long hours when required
- Willingness to travel and work overseas
- Ability to meet tight and sometimes changing deadlines
- Efficient and sensitive handling of confidential information
- Good oral and written skills in English
