DESCRIPTION
The Police Custodian of Records oversees the management security and compliance of police department records. This role ensures adherence to legal and regulatory requirements while supervising records staff and maintaining efficient records operations.
QUALIFICATIONS
- High school diploma or equivalent.
- Experience in records management law enforcement administration or a related field.
- Supervisory experience preferred.
KNOWLEDGE SKILLS AND ABILITIES
- Knowledge of laws and regulations governing police records and public information requests.
- Knowledge of and proficiency in records management software and law enforcement databases.
- Skills in organization and strong attention to detail.
- Skills in excellent written verbal and interpersonal communication.
- Ability to handle sensitive and confidential information with discretion.
- Ability to professionally interact with law enforcement personnel legal professionals and the public.
MAJOR DUTIES
- Supervise the collection storage retrieval and dissemination of police records including incident reports warrants and criminal history files.
- Ensure compliance with public records laws privacy regulations and law enforcement policies.
- Respond to subpoenas court orders and requests for records from legal entities government agencies and the public.
- Oversee the departments records management system ensuring accuracy security and efficiency.
- Train and supervise records personnel providing guidance on proper recordkeeping procedures.
- Coordinate the sealing expungement and purging of records as required by law.
- Conduct audits and inspections to ensure compliance with records management policies.
- Prepare reports and statistical data for department leadership.
- Serve as the primary liaison for recordsrelated inquiries and legal matters.
- May require occasional court appearances.
This position is an essential service position and will require providing services during emergency situations.
