Administrative Support Specialist
ROLE
We are seeking a highly organized and adaptable Administrative Support Specialist to provide asneeded administrative services to our government client in Washington D.C. This fulltime position supports the Agencys leadership and staff by managing communications coordinating meetings and travel organizing information and maintaining records and schedules. - Receive and screen phone calls and visitors; determine the nature of contact and route appropriately.
- Compile and organize materials and information for leadership prior to appointments.
- Log and distribute all incoming mail; determine appropriate routing or handling.
- Arrange meetings and conferences including space reservation logistics and notifications.
- Record meeting attendance take notes and track followup items as needed.
- Coordinate travel arrangements for the Director and office staff.
- Maintain organized and accessible filing systems for office records and documents.
- Process and track purchase requests subscriptions requisitions and office supplies.
- Perform timekeeping and assist with telephone and equipment installation and maintenance.
- Support facilityrelated requests and oversee office space and furniture needs.
- Track electronic communications and action items; maintain updated databases and systems.
- Prepare written correspondence reports and presentations using Microsoft Office applications.
- Collect and report on customer satisfaction through administrative support surveys.
REQUIRED QUALIFICATIONS
- 2 years of experience in an administrative or office support role
- Proficiency with Microsoft Office Suite (Excel Word PowerPoint Outlook Forms)
- Strong communication organization and time management skills
- Ability to exercise discretion and handle sensitive information
- Familiarity with meeting coordination recordkeeping and travel logistics
EDUCATION
High school diploma or equivalent requiredAssociate or bachelors degree preferredPREFERRED QUALIFICATIONS
Experience in a federal government or highsecurity office environment
Knowledge of office systems such as SPLAN Brookfield or federal travel processes
