The Opportunity:
We are currently seeking a highly motivated Compliance Support Coordinator to work in compliance department to join our team at our Thurnscoe site.
As part of the Compliance and Risk function the role plays a critical part in the operational and strategic effectiveness of the business. A passion for excellence coupled with an ability to focus on attention to detail are two important elements to being successful in the role.
Demonstrable experience in Microsoft and cloudbased software applications would be advantageous given the outputs expected from the successful candidate. The role supports the daytoday operations of the Compliance and Risk function ensuring that all activities adhere to relevant laws regulations and internal policies and standards. The Compliance Support CoOrdinator is part of a team tasked with delivering on compliance programs maintaining records tracking compliance tasks and assisting in other related key function and business activities.
The job holder must be able to proactively and effectively communicate and collaborate at all levels across the business as well as with clients and the supply chain and be able demonstrate an enthusiastic approach to resolving problems.
Acting as an ambassador and role model for our business the job holder will provide functional support and positively contribute to the successful delivery of operational and strategic business priorities in line with our Service differentiation ethos
Key Responsibilities:
- Maintain the Balmoral Tanks Integrated Management System (IMS) and the HSEQ communal document system including the uploading of controlled documents (e.g. procedures forms work instructions) on the IMS.
- Provide guidance support and training on the IMS as appropriate ensuring that changes are effectively managed and communicated across the organisation.
- Provide administrative assistance to the compliance team including organising and maintaining compliancerelated documents correspondence and records.
- Analyse and report on trends in nonconformities and customer complaints identifying areas for improvement.
- Act as the custodian of the SmartSurvey automated software application ensuring its efficient use within the organisation.
- Collaborate with the Compliance and Risk and other internal functions to complete customer prequalification questionnaires accurately and in a timely manner.
- Manage customer and other approval portals to ensure certificates statistics and other company details are kept up to date.
- Work with process owners to implement agreedupon improvements with a focus on reducing nonvalueadding content.
- Assist in the review and distribution of company policies and procedures to ensure compliance with applicable laws regulations and company standards.
- Help coordinate training sessions on compliancerelated topics ensuring employees are wellinformed about relevant policies and procedures.
- Monitor and track the status of compliancerelated training initiatives to ensure ongoing adherence to company standards.
- Support internal and external audits by preparing and organising necessary documentation and records.
- Ensure all HSEQrelated documentation and certifications are reviewed approved and properly filed expediting the resolution of any missing or incorrect information.
- Assist in the preparation of compliance reports ensuring accurate data collection and effective communication to senior management.
- Identify opportunities for improving compliance processes and systems contributing to continuous improvement initiatives within the function.
Experience & Qualifications:
Good Level of general education
Necessary:
- A minimum of 2 years experience working in a similar role.
- Experience in document administration and use of document management systems
- Experience in data inputting/handling.
- Experience of Microsoft applications and cloudbased software applications.
Desirable:
- Relevant previous experience within a manufacturing organisation.
- Experience of related international management systems models standards e.g. ISO9001 ISO14001 ISO45001.
- Knowledge of UK health and safety legislative requirements.
- Knowledge of internal Audit processes e.g. planning executing and reporting audits.
