Job Description

Community Action Agency is seeking an adaptive energetic HR Clerk Student to join our team of HR professionals. The HR Clerk will provide general clerical support to the Human Resource Department such as scanning data entry filing submitting background or DMV checks and gaining experience in document editing and surveys. The HR Clerk will also assist with requests via the HR email inbox as needed at the direction of the HR Supervisor.

This is a temporary position working 30 hours with an estimated duration of June through September of 2025.

Candidates must submit applications by 05/23/25 to be considered for firstround interviews.

MINIMUM QUALIFICATIONS The requirements listed below are representative of the knowledge skill and/or ability required.

EDUCATION AND EXPERIENCE

  • High School Diploma or GED

  • Documented college coursework is required. Degree completion is not

  • This position is available to actively enrolled students pursuing postsecondary education in Human Resources Business Administration or a related field.

CERTIFICATES LICENSES REGISTRATIONS

  • Driver qualification status is not required for this position.

  • Candidate must pass a comprehensive MWVCAA background screening prior to employment.

  • Successful registration with the Central Background Registry of the Child Care Division

  • Candidate must pass preemployment and random drug/alcohol screenings.

KNOWLEDGE SKILLS AND ABILITIES

  • Basic computer skills including experience with Microsoft Office (Outlook Word Teams Excel) are required.

  • Attention to detail and accuracy required.

  • Oral and written communication skills and ability to respond to requests in a professional manner.

  • Bilingual English/Spanish reading writing and speaking capabilities are preferred but not required. A bilingual differential may be available upon successfully passing a bilingual skills test.

ESSENTIAL DUTIES AND RESPONSIBILITIES This job description is not intended to be allinclusive. Employee will also perform other reasonably related business duties as assigned by immediate supervisor and other management as required.

  • Provides clerical support and general assistance to HR Department Staff and the Associate Director

  • Researches and assembles information for projects such as onboarding recruitment outreach group trainings job fairs and allstaff events.

  • Learns basic HR processes in support of recruiters including but not limited to: conducting phone screens conducting preemployment screening adding new hires into Paycom and creating paper and digital personnel files.

  • Enters data into systems accurately from submitted paperwork. Scanning and attaching documents to employee files.

  • Provides support as needed to HR Assistants by responding to email requests pertaining to document updates and data entry.

  • May include editing tasks such as surveys proofreading job postings job descriptions and other documents.

  • Provides occasional backup front desk phone and check in tasks if a Receptionist is out of office.

SUPERVISORY RESPONSIBILITIES

There are no supervisory duties in this position.

PHYSICAL AND MENTAL DEMANDS Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties and responsibilities.

  • Specific vision abilities required by this job include close vision and ability to adjust focus.

  • Occasionally lift up to 25 pounds. Manual dexterity for data entry handling office equipment.

  • Able to move between floors using stairways (no building elevator available).

  • May need to crouch to do filing tasks.

  • Frequent processing of large amounts of timesensitive paper and digital files while maintaining accuracy and confidentiality.

WORK ENVIRONMENT

  • Indoor office work environment with frequent interruptions and demands.

  • Works with staff and applicants over the phone video calls and inperson.

  • Occasional noise and distractions in work spaces.

  • May require the flexibility to change work spaces to adjust to staffing levels and space constraints.
