Job Duties
The VMSDEP Coordinator serves as a frontline contact for applicants schools and stakeholders guiding the intake and documentation process verifying required records and supporting the adjudication process conducted by Specialists. This role helps manage case data tracks applicant progress ensures routine communications and facilitates timely responses to applicant and institutional inquiries. Coordinators play a critical support role in maintaining quality assurance and contributing to consistent accurate enrollment tracking through collaboration with institutions and SCHEV.
Minimum Qualifications
To effectively coordinate the VMSDEP program the Coordinator needs a robust foundation of knowledge encompassing the application and intake processes eligibility documentation public education systems veteran education benefits and critical confidentiality protocols like FERPA and HIPAA alongside basic technical troubleshooting skills for initial portal and application issue triage. Success in this role also demands strong communication skills for guiding applicants and stakeholders excellent organizational and digital skills for managing data and documentation across various platforms including MS Office Adobe Teams and internal systems and the ability to accurately document and discern technical concerns. Furthermore the Coordinator must demonstrate the ability to manage competing priorities under pressure maintain meticulous attention to detail exhibit empathy and professionalism in sensitive interactions logically identify and triage potential technical issues with thorough documentation and effectively coordinate with internal and external stakeholders to ensure accurate enrollment reporting and resolve procedural obstacles.
Additional Considerations
A minimum of an associates degree is required and a bachelors degree in Public Administration Education Human Services or related field is preferred.
Experience in providing comprehensive program support to multiple staff members within a fastpaced environment. This includes a proven track record of safeguarding Personal Identifying Information (PII) and a commitment to delivering professional and highquality customer service; plus experience managing substantial volumes of data and documentation utilizing a range of software including Microsoft Office Suite Adobe Microsoft Teams and internal case management systems to ensure efficient and accurate recordkeeping and workflow management
