The Appellate Courts of the Alaska Court System (ACS) seeks an organized and selfmotivated individual to join us as Transcript Coordinator (salary range 14).


The Position
You will administer transcript requests statewide and oversee transcript preparation under the direction of the Clerk of the Appellate Courts.


ADMINISTRATION OF TRANSCRIPT REQUESTS

  • Receive review document and process Opening Notices prepared by the appellate case managers for each new appeal filed in the Court of Appeals and Supreme Court to determine if a transcript is being prepared at public expense;
  • Receive review document and process all requests for grand jury transcripts;
  • Gather materials necessary for preparation of transcript: audio and log notes; identify potential trouble areas jury selection and sealed or confidential portions that need to be omitted;
  • Verify receipt of necessary audio and log notes; contact trial court as needed for missing items;
  • Calculate page estimates and prepare transcripts for assignment to contractor or self;
  • Send completed transcripts to inhouse print shop for copying and binding;
  • Maintain records and prepare regular status reports on all transcripts.

OVERSEE TRANSCRIPT PREPARATION

  • Assign work to private transcribers or self and monitor due dates;
  • Perform quality control by proofreading and checking for formatting;
  • Maintain records on all contractors to track adherence to contract and quality timeliness number of extensions and acceptance or rejections rate;
  • Apprise contractors of any compliance issues;
  • Grant or deny requests for extensions from contractors;
  • Accept or reject transcripts prepared by contractors;
  • Complete paperwork to ensure payment to contractors upon acceptance of transcripts;
  • Advise Fiscal Operations if contractors fail to perform under the contract and make recommendations;
  • Proofread all transcripts (grand jury and appellate records) against electronic record to assure ACS quality standards are met.

MAINTENANCE OF QUALITY STANDARDS & OTHER DUTIES

  • Answer questions from potential transcribers; provide guidance and feedback on solicitations regarding ACS transcription standards;
  • Participate in review of Open Solicitation for Transcription Services every 35 years and work directly with the Clerk of the Appellate Court and Procurement Officer to update solicitation as needed;
  • Maintain and update the Manual of Transcript Procedures;
  • Provide backup coverage for Statewide Records Coordinator;
  • Perform other duties and projects as assigned by the Clerk of the Appellate Courts.

Work Hours
Fulltime court employees currently work 37.5 hours per week. The work hours for this position are Monday Friday 8:00 a.m. to 4:30 p.m. with a onehour lunch break.

Minimum Qualifications

A high school diploma or General Education Development (GED) certificate AND three years of general office clerical work experience AND the ability to type at least 40 words per minute (net).

Substitution:

Satisfactory completion of an appropriate vocational training course of study may be substituted for up to six months of the required work experience.
