Job Description

POSITION OVERVIEW

The Coordinator Catalyst facilitates key project data management and administrative work for the Catalyst team. Catalyst is an independent film financing program that brings together both new and experienced film investors through highly-curated film financing opportunities custom programming and ongoing engagement with the Sundance Institute community. We train selected filmmakers to effectively present their films for independent financing and we provide them with continued support throughout the lives of their projects through guidance on building successful investor relationships and critical project feedback.

Working closely under the Manager Catalyst the Coordinator will support logistics for all program activities including the filmmaker application and review process for the Catalyst Forum the Catalyst Forum Filmmaker prep program and our year-round work with Catalyst alumni and investors. The Coordinator will also lead tracking and data management projects for the Catalyst team playing a major role in helping the team remain on task and meet deadlines. Additionally this role will support in-person and remote events and cross-departmental initiatives with the Future Models Program which aims to tackle systemic challenges by supporting interventions creative solutions and new models toward the shared goal of increasing sustainability across the ecosystem.

While much of the day-to-day work may be performed remotely this full-time position is based within a commutable distance to Los Angeles CA in order to work onsite in a hybrid capacity as needed throughout the year. This role works extended hours including evenings and weekends at key points and will require travel to Institute offices and events on occasion.

Top priorities include but are not limited to

  • Leading team scheduling task tracking and deadline management for the Catalyst team across activities including setting agendas for meetings updating and managing the Catalyst Program calendars and tracking task assignments for Catalyst team members helping to set reminders and priorities.

  • Supporting development of departmental timelines and track deadlines for specific projects/events both internally with different departments and with external collaborators (i.e. filmmakers advisors).

  • Supporting the Catalyst Manager in coordinating Catalyst Filmmaker Prep programs tracking each film teams individual timeline schedule and weekly deliverables; including managing all Catalyst tracking systems related to Filmmaker Prep.

  • Providing calendar support for the Catalyst & Future Models Director maintaining an in-depth awareness of the Directors schedule and priorities across the two programs and supporting the Director as it pertains to tasks and events that are relevant to both programs.

  • Coordinating logistics and operational planning on behalf of the Catalyst team for in person and remote events including but not limited to run of show development and coordinating across departments (i.e. operations technical staff) both in the lead up to events and on the ground.

  • Supporting invitations to investors filmmakers program advisors and guest speakers collect and file supplementary materials as applicable (headshots bios agreements etc.).

  • Leading and organizing the creation of Catalyst investor and filmmaker-facing materials such as program lab books annual reports decks one-sheets Forum materials and managing relevant assets on behalf of the Catalyst team.

  • Supporting materials review organization and routing process among internal Institute colleagues and external collaborators.

  • Supporting tech projects for the Catalyst team from research to implementation and maintenance. This includes being well versed and building processes for programs such as FestiCine Dropbox Zoom Catalyst Filmmaker Applications and managing the Sundance Catalyst webpage.

  • Supporting data management for the Catalyst Team in Airtable. Track information and update Catalyst files on a rolling basis including constituent contact details investment records projects updates and other information related to Catalyst-supported filmmakers and investors.

  • Tracking projects and artists year-round for Catalyst filmmaker opportunities including outreach application recruitment and filmmaker submissions.

  • Participating in Catalyst project selections reading applications and providing written coverage on projects.

  • Helping create and maintain resources for selected filmmakers such as a master guide of fiscal sponsors a compilation of financing-related resources articles and reports etc.

  • Supporting mass communications to Catalyst filmmaker and investor constituencies including creating first drafts of external-facing emails coordinating internal review and feedback as appropriate collecting updated contact lists and ensuring they are accurate and helping to manage the Catalyst program mass communications calendar.

  • Managing the general Catalyst inbox.

  • Collaborating with Advancement Operations Tech Events and Digital teams as needed.

  • Assisting with administrative support special projects and other duties as assigned.

You have the following direct or transferable skill sets:

  • 2 years of work experience in the film industry or related field.

  • Excellent organizational skills and attention to detail.

  • Strong collaboration skills and ability to work as a part of a team.

  • Excellent interpersonal and written communication skills.

  • Excellent discretion.

  • Fluency in Google Applications and in MS Office (especially Excel).

  • Demonstrated interest in independent film and/or film finance.

  • Passion for Sundance Institutes mission.

  • Physical production or event production experience preferred.

  • Experience reading scripts and writing coverage is a plus.

  • Legal authorization to work in the United States.

*Final rate of pay is determined based on the applicants geographic location relevant experience and skills and internal equity among similar positions within our organization.
