Overview:
A Real Estate Legal Assistant supports attorneys in handling residential and commercial real estate transactions from contract to closing. Their role is crucial in ensuring all legal documents are properly prepared reviewed and executed according to Illinois Responsibilities:
- Contract Management:
- Draft review and revise real estate contracts riders and amendments.
- Track key contract deadlines (e.g. attorney review period inspection contingencies mortgage contingency dates).
- Communication:
- Serve as a liaison between clients attorneys real estate agents lenders title companies and municipal offices.
- Regularly update all parties on transaction status and next steps.
- Title and Survey Review:
- Order title commitments and surveys.
- Review title documents identify issues (such as liens judgments or encroachments) and assist attorneys in resolving them.
- Coordinate title curative work when necessary.
- Document Preparation:
- Draft closing documents including deeds affidavits bills of sale transfer declarations (such as the Illinois PTAX forms) and closing statements.
- Prepare or coordinate homeowner association disclosures if applicable.
- Closing Coordination:
- Schedule closings with all parties.
- Ensure that all documents and funds are in order for closing.
- Work with title companies to finalize closing packages and settlement statements.
- Prepare and deliver seller/buyer documents for remote or inperson signings.
- PostClosing:
- Confirm recording of documents with the county recorder s office.
- Handle postclosing tasks such as disbursing funds delivering final title policies and filing transfer documents with municipalities if needed.
- Compliance and Administration:
- Ensure compliance with Illinois state laws and local municipal requirements (like transfer stamps zoning certifications).
- Maintain organized and accurate transaction files both digital and physical.
Requirements
Skills and Qualifications:
- Strong understanding of Illinois real estate law especially regarding residential and commercial transactions.
- Proficiency with real estate software (like Clio Qualia or similar) and title company platforms.
- Excellent organizational skills with the ability to track multiple transactions simultaneously.
- Attention to detail and accuracy in document preparation and review.
- Strong communication skills both verbal and written.
- Ability to work independently and prioritize tasks in a deadlinedriven environment.
