The Department

This position is in the Facilities Maintenance and Operations Department (FMO) which strives to provide safe functional and attractive facilities for student staff and community use. NWP takes pride in respecting and preserving its buildings and grounds and this is reflected in the prompt and dedicated service provided by its Facilities Maintenance and Operations team.

The Role

Reporting to the Director Facilities Maintenance & Operations the Capital and Space Management Coordinator is responsible for capital budgetary and planning processes space management and project coordination. They provide leadership and guidance to institutional departments on the development of capital budgets functional programs and project plans. They will engage with external stakeholders regularly including consultants contractors vendors and government agencies. Primary location for the position will be in Grande Prairie with some travel to Fairview Campus expected. Fairview is located 115km northeast of Grande Prairie.

Requirements

The successful candidate will have a bachelors degree in business administration or equivalent experience. Oneyear workrelated experience in a public sector setting. A combination of education and experience will be considered.

Experience in the following areas will help the candidate be successful in this role:

Functional Leadership

  • Provide guidance to institutional departments on the development of capital budgets functional programs and project plans.
  • Develop annual working plans for allocating capital resources and space management initiatives with measurable goals and KPls.
  • Promote awareness of the project capital and space management processes across campus through providing workshops mentorship and engagement opportunities.

Capital Planning and Space Management

  • Develops implements and completes projects using project management principles and practices.
  • Determines the project strategy responsibilities and schedule.
  • Mobilizes external contracted resources (PM Services Consultants and Contractors) to launch and execute project.
  • Engage with end users consultants contractors and other stakeholders as required throughout the project lifecycle.
  • Provides coordinated oversight and identifies priorities to the project team to meet project objectives.
  • Reviews and approves project documentation deliverables and change requests within signing authority limits.
  • Research and write invitational and public procurement documents for projects and vendor prequalifications.

Finance and Reporting

  • Organize the financial planning and budgetary process for the capital budget capital maintenance and renewal grant and the space management cost center.
  • Reconcile the capital budget and capital plan project accounts against actual expenditures and approved funding.
  • Develop a cash flow forecast and cost information for ongoing and committed projects.
  • Provide reporting as necessary to the Director and Finance on projects.
  • Collaboration with Finance on a regular basis.

Other Duties

  • Participate in relevant committees and working groups as assigned
  • Willingness to work overtime on evenings and weekends
  • Supervise casual summer staff if hired to support capital projects

The successful candidate will also have developed skills in the following areas:

  • High degree of initiative and selfmotivation with the ability to manage and achieve deadlines.
  • Superior customer service skills with the ability to build strong relationships across the organization.
  • Ability to interpret technical reports specifications operating and maintenance manuals design standards manufacturers data engineering and technical work proposals contracts and reports.
  • Intermediate computer skills in Microsoft Office Applications
  • Strong written and verbal communication analytical research and problemsolving skills to handle enquiries and resolve issues in a professional and timely manner.
  • Knowledge of public sector accounting principles considered an asset.

Candidate must posses a valid Class 5 drivers license. Frequent travel between campuses is required. Position can be located in either Fairview or Grande Prairie depending on the successful applicant.
