Job Description

ABOUT THE JOB:

As the welcoming face of Interior Community Services our Receptionist serves as the initial point of contact for all visitors where their warm and professional interactions set the tone for a positive and inclusive experience for the community members accessing our services.

The key responsibilities include:

  • Client Interaction: Greet clients warmly and assist them with their inquiries creating a positive and welcoming environment.
  • Phone Management: Answer incoming calls take messages and redirect calls as necessary to ensure efficient communication.
  • Financial Transactions: Handle payments issue receipts and manage transactions related to our services demonstrating accuracy and attention to detail.
  • Data Entry and Tracking: Input data accurately into relevant systems and maintain organized records for efficient retrieval.
  • Mail Processing: Handle incoming and outgoing mail including sorting distribution and processing as required.
  • Supplies Management: Take charge of supply orders ensuring that necessary items are stocked for smooth daytoday operations.
  • Administrative Support: Assist with various administrative and clerical accounting tasks as assigned by supervisors.

  • Interior Community Services is a Municipal Pension Plan (MPP) employer. Casual employees entitlement to MPP is determined based on the candidates current contribution status. If you are already a contributing member then your contributions are continued without interruptions.


EDUCATION TRAINING and EXPERIENCE:

  • Diploma or Certificate in Business/Office Administration or related field
  • Related experience providing administrative support and customer service in a busy office setting
  • Or an equivalent combination of education training and experience.


SKILLS KNOWLEDGE and ABILITIES:

  • Strong skills in Microsoft Office programs (Outlook email Word Publisher Excel)
  • Proficiency in navigating various digital platforms and software with a strong aptitude for learning new programs.
  • Familiarity with Sage 50 is an asset.
  • Familiarity with Canva is an asset.
  • Strong interpersonal and client service skills.
  • Strong professional communication skills both written and verbal.
  • Attention to detail and accuracy.
  • Ability to work effectively as part of a team and independently with little supervision.
  • Strong organizational and time management skills.
  • Ability to effectively handle multiple demands.
  • Professional and courteous customer service.


REQUIREMENTS

  • Flexibility in schedule to provide backup coverage for vacation and sick days of regular employees
  • Consent to Criminal Record Checks with vulnerable sector search
  • This position requires Union membership with a 1.85 Union Dues deduction from the pay
  • BC Class 5 Drivers License and access to a reliable vehicle is an asset

STATUS: Casual

SCHEDULE: Oncall within the office hours of Monday to Friday 8:30 am 4:30 pm

REPORTS TO: HR Manager

COMPENSATION: $24.43 $28.04 per hour (Grid 7 as per collective agreement)
