Elementary School Secretary

Position Title: Elementary School Secretary

Department: ECC School

Reports To: ECC School Principal

Job Classification: GLSSA Secretary Level I Classification

Pay Scale: $16.00 $20.90

Hours: Full time 40 hours per week (School Year Only)

SUMMARY:

Serves as confidential secretary to the principal and as a facilitator for the school/public being served. Bilingual Spanish is preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned.

  • Serves as confidential secretary to the Elementary School Principal
  • Maintains school records files and related requirements for building Principal
  • Supports the Principal with all functions related to the evaluation of certified and support staff
  • Compiles accurate pupil accounting records and membership reports and prepares reports for Central Office
  • Greets all visitors
  • Responsible for all incoming correspondence including letters emails faxes phone calls
  • Types prepares distributes and files records/reports correspondence etc. related to building functions and principal needs
  • Responsible for budget account management functions including requisitions invoices reimbursements deposits timesheets conference requests
  • Collects and maintains accurate records with regard to locks and lost and damaged books.
  • Maintains schedule of appointments for Principal
  • Supervises student aides assigned to school office
  • Assists Principal with all functions related to practice ceremony special programs etc.
  • Compiles and maintains record of emergency drills to be provided to Central Office and Intermediate School District
  • Compiles and types student/staff handbook
  • Assists with distribution of report cards
  • Assigns lockers for hall and gym and maintain record of assignment
  • Responsible for all functions associated with substitute teachers internal or external

  • Ability to nurture a school environment that celebrates respects and values diversity where teaching and learning are made relevant and meaningful to students



SUPERVISORY RESPONSIBILITIES:

Supervises student aides assigned to the school office

QUALIFICATION REQUIREMENTS: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required. EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED) and one year previous office experience required. Some college preferred and coursework in typing/word processing office procedures and bookkeeping is desirable.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents staff and students. Spanish speaking ability is preferred.

MATHEMATICAL SKILLS:

Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS and ABILITIES:

Strong organizational skills and ability to work cooperatively with building staff required. Ability to relate to school age children parents and community members is required. Demonstrated ability to operate a personal computer and accurate word processing skills. Willingness to learn schoolrelated software applications. Ability to communicate clearly and concisely both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.

While performing the duties of this job the employee is almost continuously required to sit and talk or hear. The employee is occasionally required to walk and stand. The employee is occasionally required to reach with hands and continuously will repeat the same hand arm or finger motion many times as in typing. Specific vision abilities required by this job include close vision depth perception and the ability to adjust focus.

The noise level in the work environment is acceptable to this particular environment. However the noise level can vary depending upon daily activity but will still remain within the acceptable noise level range. The employee continuously is interacting with the public staff and students. The employee frequently will be required to meet multiple demands from several people.
