Description of Work

Hybrid position based in Raleigh

The North Carolina Community College System (System Office) is a statewide network of 58 public community colleges. The system enrolls over 500000 students annually. It is the 3rd largest in the nation based on the number of colleges. It also provides data to the North Carolina Learning Object Repository by collecting contributing and sharing digital learning resources for use in traditional or distance learning environments. Are you detailoriented organized and passionate about supporting workforce development JoinApprenticeshipNCas anAdministrative Support Specialistand play a key role in helping us grow North Carolinas skilled workforce through highimpact apprenticeship programs.

This position provides essential support to our consultants coordinators and leadership team ensuring that operations run smoothly and efficiently. Your work directly supports apprentices employers and agencies across the state.


Key responsibilities:

Administrative & Document Support

  • Review and process internal submissions for accuracy and completeness
  • Prepare and produce official documents and apprenticeship certificates
  • File archive and manage both digital and physical documentation
  • Complete and issue authorization documents based on staffprovided information
  • Maintain and track inventory including ordering and managing federal certificates

Stakeholder Communication & Support

  • Serve as a primary contact for apprentices businesses and the general public via phone email inperson communication and video calls.
  • Respond to written and digital correspondence or refer inquiries to the appropriate personnel
  • Support liaison efforts between ApprenticeshipNC the NC Community College System state agencies and external partners
  • Assist in facilitating communication with governing bodies such as the U.S. Department of Labor and other state entities

Program Coordination & Events

  • Help implement and ensure compliance with office procedures and program guidelines
  • Deliver finalized forms applications and correspondence to appropriate parties
  • Provide ontheground support for apprenticeshiprelated events and initiatives

Process Improvement & Training

  • Contribute to testing and implementing new workflows and interdepartmental procedures
  • Assist in training staff and stakeholders on current policies procedures and system updates
  • Promote efficiency accuracy and collaboration across teams

The recruitment salary is up to $62400.

This is a fulltime position 40 hours per week) withState Benefits.

Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
