Position : Virtual Administrative Coordinator (Outbound Calling)

Duties and Responsibilities:
As a Virtual Assistant you will be responsible for communication between NGC and the insurance carrier. You will assist the Project Manager with client interaction.

- Sales Manager
- Office Manager
Duties and Responsibilities:
- Conduct outbound calls to insurance companies to request the release of recoverable depreciation and obtain insurance adjuster estimates after project completion.
- Perform general office tasks including correspondence filing data entry and maintaining organization.
- Communicate with homeowners and insurance companies via phone and email ensuring timely followups.
- Manage and process insurance claims invoices payments and older files maintaining accurate records.
- Coordinate schedules appointments and office activities while supporting team operations.
- Ensure client and insurance files are regularly updated for consistent service delivery.
- Maintain office supplies and inventory ensuring resources are available
- Send contractor s agreement to carrier
- Assist with getting adjustment set
- Follow up on loss sheet
- Follow up on supplement
- Send Invoice and COC (Certificate of Completion)
- Follow up on final monies
- Upload documents for PCs if needed
KPIs Tracked for Job:
- Amount of files touched per day
- Number of loss sheets uploaded weekly
- Number of final bills submitted weekly
- Number of adjustments set weekly
- Time between adjustment completed and loss sheet submitted
- Time between final bills introduced and the last check received
- Time between contract offered and adjustment sent
Performance Goals:
- Keep clients happy by notifying them about updates through the CRM and informing the manager if there are any issues with a Project Manager.
- Decrease the amount of time between all tracked KPIs.
- Maintain consistent attendance and punctuality aiming for improvement in KPI reporting.
Minimum Requirements:
Language requirement: Excellent English Communication Skills
Experience: 2 years of related experience
- 2 years of experience in administrative support roles with a strong focus on outbound calling
- Proven ability to handle outbound calls and conduct professional conversations with clients and third parties
- Strong organizational skills with experience in managing schedules documents and correspondence
- Detailoriented and proactive with the ability to prioritize tasks and manage time effectively in a remote work environment
