Position: Proposal Coordinator Department: Sales Location: Alpharetta GA or remote Reports to: Revenue Operations Job Scope and Accountabilities The Proposal Coordinator is responsible for managing and supporting the development of compelling compliant and wellstructured proposals in response to Requests for Proposals (RFPs) Requests for Information (RFIs) and other business opportunities. This role requires strong organizational writing and communication skills as well as the ability to collaborate with crossfunctional teams to ensure timely and highquality submissions. Key Responsibilities - Proposal Development:
- Assist in the creation editing and formatting of proposal documents ensuring compliance with client requirements and company standards.
- Coordinate proposal schedules deadlines and deliverables to ensure timely submission.
- Support the development of proposal outlines compliance matrices and content planning.
- Gather and organize input from subject matter experts (SMEs) and key stakeholders.
- Content Management & Writing:
- Draft proofread and edit proposal sections including executive summaries technical approaches and past performance narratives.
- Maintain a repository of reusable proposal content templates and best practices.
- Ensure consistency in tone formatting and messaging throughout proposals.
- Collaboration & Communication:
- Facilitate meetings proposal kickoffs and debrief sessions with internal teams.
- Coordinate with business development marketing technical and leadership teams to align proposal strategy with company objectives.
- Communicate deadlines requirements and expectations to contributors and leadership.
- Compliance & Quality Assurance:
- Ensure all proposals meet customer requirements legal standards and corporate branding guidelines.
- Conduct quality checks for accuracy grammar formatting and overall clarity.
- Track and analyze proposal outcomes to refine future submissions.
Experience Required - Prior experience working in construction is highly desired (either at construction service firms or construction software) or 3 years successful experience demonstrating software solutions
- Consultative sales background highly desirable
Education/Professional Qualifications - A degree from an accredited fouryear college or university
Interpersonal Skills - 13 years of experience in proposal writing coordination or related roles.
- Strong project management skills with the ability to manage multiple deadlines simultaneously.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint) and Adobe Acrobat.
- Familiarity with proposal management tools (e.g. RFPIO Loopio SharePoint) is a plus.
- Knowledge of government and/or corporate proposal processes (e.g. FAR DFARS or Shipley Method) is a plus.
- Experience in the construction and/or software development market is a plus.
- Strong written verbal communication and organizational skills
