Parish Administrative Assistant
Reports to: Pastor

Position Summary
The Parish Administrative Assistant serves as a vital presence in the life of St. John the Baptist Catholic Church providing essential clerical and administrative support to the Pastor and parish staff. This role ensures smooth daytoday operations of the parish office while also serving as a warm welcoming point of contact for parishioners visitors and vendors. The ideal candidate is dependable detailoriented teamminded and possesses a strong sense of hospitality and service aligned with the Catholic Church mission.
Duties and Responsibilities
- Greet and assist parishioners visitors and service personnel during office hours.
- Answer and direct incoming calls resolve routine inquiries and maintain a current phone message with parish announcements.
- Monitor and respond to parish email throughout the day redirecting or printing for followup as needed.
- Manage parish calendars including Mass intentions and flower dedications.
- Prepare and mail welcome packets sacramental certificates baptism instructions and other parish correspondence.
- Organize and coordinate sacramental celebrations (Weddings Funerals Baptisms) in collaboration with clergy and families.
- Maintain orderly and uptodate parish files both digital and physical.
- Update church bulletin boards and other information displays regularly.
- Prepare and maintain ministry and liturgical volunteer schedules.
- Support the preparation and timely publication of the weekly parish bulletin.
- Assist with planning and setup for parish events as needed.
- Maintain parishioner records using church management software; accurately record weekly contributions.
- Assist with basic bookkeeping responsibilities including processing accounts payable and deposits.
- Generate routine and special reports as requested by the Pastor.
- Oversee the maintenance of office equipment and coordinate repairs when needed.
- Maintain inventory and reorder office supplies to ensure consistent availability.
- Make travel and lodging arrangements for clergy and guests.
- Attend staff meetings and prepare/distribute meeting minutes as requested.
- Perform other tasks and projects as assigned by the Pastor.
- Be available for occasional evening or weekend duties for major parish events.
Qualifications and Skills
- Minimum 2 years of experience in an administrative or clerical role preferably in a parish or nonprofit setting.
- Practicing Catholic strongly preferred; must be able to support and represent the values of the Catholic Church.
- Proficiency in Microsoft 365 (Word Excel Outlook etc.; experience with parish management software (e.g. ParishSoft) is a plus.
- Excellent verbal and written communication skills; ability to interact effectively with clergy staff and parishioners.
- Professional organized and detailoriented with a commitment to accuracy and confidentiality.
- Strong interpersonal and customer service skills; demonstrates warmth discretion and patience.
- Ability to work independently manage multiple tasks and adapt to changing priorities.
LANGUAGE SKILLS
Ability to write reports business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers clients vendors employees and the public.
MATHEMATICAL SKILLS
Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems collect data establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
