Position Summary:

Do you love meeting people and immediately putting them at ease Do you enjoy welcoming individuals into new environments Our Chicago office has an amazing opportunity for a Receptionist/Office Assistant who is looking to be the face of Benesch. This role is perfect for the receptionist who is looking to be the point person for all guests employees and work with the Legal Office Manager to ensure things run smoothly.

The Receptionist/Office Assistants primary responsibility is to represent the Firm in a polite professional and courteous manner. This position also assists in a variety of functions focused on optimizing general office operations. Duties include but are not limited to answering the Firms telephone system transferring calls taking messages greeting/welcoming visitors processing expenses and overseeing the scheduling of conference rooms and guest offices. This role provides essential administrative and front desk support while delivering exceptional service to clients employees and visitors. This position is inoffice and onsite five 5 days per week.

POSITION RESPONSIBILITIES

  1. Answers all incoming calls and transfers them or takes messages accordingly.
  2. Greets and welcomes all guests; directs same to desired conference room or office.
  3. Interacts with and directs all thirdparty vendors to the appropriate service location.
  4. Accepts certified mail deliveries and provides any necessary signatures.
  5. Accepts subpoena service via signature.
  6. Provides secretarial assistance to administrative assignments and/or Paralegals including but not limited to printing typing document organization time entry expense reporting file creation mass mailings etc. as requested.
  7. Works with staff and/or marketing to assist in the coordination of local Firm events and meetings including but not limited to arranging catering conference room setup reception area.
  8. Conference room and guest office scheduling via AskCody Meeting.
  9. Communicates and interacts appropriately with internal and external clients to deliver a high level of customer service consistent with the Firms First in Service philosophy.
  10. Responds timely to all communications and requests.
  11. Ensures cleanliness and orderliness in the reception area.
  12. Maintains and stocks reception area beverage station.
  13. Manages visitor parking validation stickers (e.g. distribute and maintain guest parking voucher logs).
  14. Enters building visitors in building security portal.
  15. Enters building work orders in the Office of the Building Service Portal and communicates service needs to appropriate personnel.
  16. Responsible for maintaining written desk procedures including vendor contacts as needed/requested.
  17. Orders catering for meetings etc. using best judgment re: cost and type of meeting.
  18. Participates in Building Management Emergency Work Life Safety program.
  19. Maintains confidentiality of Firm and client related matters.

ADDITIONAL RESPONSIBILITIES

  1. Performs additional office support duties as assigned/requested.
  2. May require overtime or weekend hours.

QUALIFICATIONS

The Receptionist/Office Assistant Receptionist must have a High School Diploma. Two or more years of experience in a law firm or professional service environment is preferred. Utilize Microsoft Office (Excel Outlook PowerPoint Word) and PDF software. Must be organized and have an ability to multitask independently. Must possess an excellent customer service attitude as well as outstanding professionalism and communication skills to manage a variety of daily tasks and provide optimal client service. The salary range for this position is $55K to $70K.

Please note that quoted salary ranges are based on Beneschs good faith belief at the time of the job posting and are not a guarantee of what final salary offers may be. Base pay is based on market location and may vary depending on jobrelated knowledge skills and experience. Base pay is only one part of the Total Rewards that Benesch provides to compensate and recognize our staff professionals for their work. Fulltime positions are eligible for a discretionary bonus and a comprehensive benefits package.
