The Housing Authority of the City of Austin (HACA) is looking for a Payroll Specialist to join our highperforming Finance Team. This role is responsible for supporting administrative and clerical functions within the Finance Department ensuring accurate and timely payroll processing and maintaining financial records. HACA has been a leader in affordable housing in the City of Austin for more than 85 years. In partnership with the U.S. Department of Housing and Urban Development local government entities and numerous nonprofit agencies HACA provides access to safe stable housing to over 20000 individuals.


What you will do in this position:

  • Payroll Processing:
    • Processes payroll including auditing and summarizing timesheets and leave slips.
    • Enters and processes payroll data in the system.
    • Prepares and routes payroll checks and related tax returns.
  • Financial Reporting & Compliance:
    • Prepares payrollrelated tax returns and check requests.
    • Reconciles and transmits payroll taxes and employee benefit payments monthly.
    • Generates and distributes W2s 1099s and other financial reports.
  • Data Management & Record Keeping:
    • Maintains and updates employee records including salary benefits direct deposit and tax information.
    • Compiles and verifies payroll data for accuracy.
    • Assists in generating reports related to payroll and Assisted Housing payments.
  • Assisted Housing Payments:
    • Prepares and prints monthly checks for Assisted Housing landlords and tenants.
  • System Maintenance & User Support:
    • Performs routine system monitoring backups and minor equipment maintenance.
    • Assists users with payroll system troubleshooting and training as needed.
  • General Accounting Support:
    • Assists with reconciliations general ledger entries and grant reporting.
    • Prepares quarterly reports and utility bill payment spreadsheets.
    • Supports financial closeout activities.
  • Other Duties:
    • Responds to payrollrelated inquiries.
    • Performs other assigned tasks as directed by the supervisor.

More about this position:

  • Qualified candidates must possess:
    • Associates degree in Business Accounting Finance or a related field plus one year of experience; OR
    • High school diploma/GED with two to three years of payroll or accounting experience; OR
    • An equivalent combination of education and experience.
    • Strong knowledge of accounting principles and payroll processing.
    • Proficiency in Microsoft Office Suite (Excel Word PowerPoint Access).
    • Excellent attention to detail organizational and communication skills.
  • Preferred candidate should possess:
    • Bachelors degree in Accounting Finance Business Management or a related field.
    • Four to five years of payroll or accounting experience.
    • Ability to work with individuals from diverse backgrounds.
    • Strong analytical and problemsolving skills.
    • Experience with financial software and payroll systems.
