Job Description

Office Assistant Front Desk (temporary until august)

Stockholm Sweden

We are currently seeking a temporary Office Assistant Front Desk until midaugust.

In this role you are responsible for ensuring the seamless operation of AXA XLs office Stockholm. As an Office Assistant you ensure a safe tidy organized and operational work environment to provide an exceptional office and workplace experience.

What will your essential responsibilities include

  • Manage front desk tasks mail and incoming enquiries answering phone liaise with cleaners and property manager.
  • Welcoming visitors and ensuring they have a positive impression of AXA XL.
  • Monitor and maintain office supplies (stationary paper office material etc.
  • Collaborating with HR and IT to facilitate onboarding for new employees including administering access cards fire safety ordering work equipment and local IT setup.
  • Setting up and preparing conference rooms for meetings.
  • Coordinating and organizing local meetings and events both internal and external.

You will report to the Nordic Operations Manager.

Were looking for someone who has these abilities and skills:

Good overall office and administrative services qualifications

IT literacy Microsoft Office package literacy as a minimum

Excellent communication skills (both written and verbal) in Swedish and English

Welldeveloped social skills ability to communicate and network with people on all levels

Excellent organizational skills

Multitasking and timemanagement skills with the ability to prioritize tasks

Proactive approach

Attention to detail and system entering
