Scope of Position:
To assist the Divisional Youth Department with keeping documents such as communications records and billings between the Divisional Youth Department and The Salvation Army (TSA) units. The Administrative Assistant is responsible for establishing and maintaining Youth Department protocols.

Requirements Knowledge Skills Abilities and Schedule:
Proficient with MS Word Access PowerPoint Excel Publisher mail merge and email. Ability to acquire proficiency for Salvation Armyspecific programs/applications such as but not limited to The Salvation Army Mission Manager (TSAMM) AgilePoint FinanceWeb etc.

Organized detailoriented selfmotivated able to work independently and take projects from beginning through completion.

Responsive and effective communicator. Able to format and compose grammatically correct and easily understood written communications.

The Administrative Assistant may be the first association or contact with Officers and Salvation Army staff and individuals the Divisional Youth Department or The Salvation Army (TSA). Therefore the ability to perform duties and conduct oneself professionally is most important.

The Administrative Assistant must be a Christian in agreement with The Salvation Armys mission statement and doctrinal beliefs.

Essential Duties and Responsibilities:

Communications:
Create receive transmit and respond to verbal and written communications to and from Salvation Army Officers staff and vendors.

Office Management:
Keep the office neat and orderly.
Answer phones and take and post messages.
Maintain confidentiality of all camp and Salvation Army business.
Handle all aspects of mail incoming and outgoing including emails.
Ensure office equipment is functioning properly. Troubleshoot basic office issues and work with the Information Technologies Department (IT) for solutions.
Responsible for monthly activity program tracking and statistics.
Maintain inventory of office supplies and equipment and order as needed.
Create and maintain forms and files as needed.
Review operational invoices with the DYCS and process payment.
Prepare and collect invoices for group events; deposit monies received and report to Divisional Headquarters (DHQ) Finance Department.
Reconcile and submit corporate credit card receipts on behalf of the DYCS.

Program Operations:
Assist in the duties for programs such as Salvation Army Youth (SAY) Rally Junior Soldier Training Young Adult Retreat Divisional Youth Retreat and Bible Bowl and other Divisional events at the discretion of the DYCS
Supplies purchasing
Logistics
Statistics Tracking
Reporting
Provide administrative support for Divisional and local events
Ensure proper and timely completion and submission of Divisional Youth Department reports and provide reports to Territorial Headquarters (THQ) and other departments as requested. (PTM Reports)

Summer Camp Assistance:
Camp Guide/Manual updates.
Quotas/Billing Between Service Extension Prison Fellowship Angel Tree and Corps
Camper Software: reporting guest registration dietary exceptions and medical requirements.
USDA reporting and liaison.
Reconcile and close out each Summer Camp session.

Working Conditions:
The following equipment is used telephone personal computer with screen monitor copy machine laminator printer/copier and 10key calculator.
May require long periods of sitting at a desk using a personal computer and telephone.
Stooping kneeling bending stretching standing walking manual dexterity handeye coordination pushing pulling lifting and carrying up to 25 pounds unassisted.
Works on many projects at once in an open office environment with frequent interruptions multiple deadlines competing priorities and noise from ringing telephones printers copiers and walkin traffic.
Frequent phone and inperson contact with people from diverse backgrounds.
Possible exposure to communicable diseases.
May require a flexible work schedule including some weekends depending on the need.
Regular and punctual attendance are essential functions of this position.

Qualifications:

Education:
Must have a high school diploma or GED

Experience:
Two years of business office experience

Licenses and Certifications:
Valid Drivers License

General Qualifications:
Strong oral and written communication skills.
Ability to work with people from diverse backgrounds.
Access to adequate internet connection for online teaching.
Reliable means of transportation.
Valid Drivers License
Computer literate in Microsoft Office (Word Excel Publisher) required.
Knowledge of Salvation Army practices and organization desirable.
