The Buyers Agent Coordinator plays a crucial role in supporting Buyers Agents and clients at the beginning of their property buying journey. This role is responsible for managing all administrative and operational tasks related to onboarding new clients ensuring a seamless and professional experience from the very start.
You will handle client documentation data entry CRM management and communication across various channels including email phone and digital platforms. You will work closely with Buyers Agents to ensure clients are set up for success providing them with the necessary information and resources to move forward confidently in their property purchase journey.
Key Responsibilities
- Manage customer agreements ensuring all required details are accurate and properly documented.
- Guide clients through the onboarding process assisting them in agreeing to engage a buyers agent for their home purchase.
- Accurately enter and maintain client information in our system ensuring records are up to date and compliant.
- Verify the completeness and accuracy of client documents following up on missing or incorrect details.
- Coordinate with internal teams including buyers agents and operations to facilitate a seamless onboarding experience.
- Provide clear communication to clients regarding next steps key timelines and any required actions.
- Respond to client inquiries and provide support on any onboardingrelated questions.
- Identify and escalate any potential issues or delays in the onboarding process.
- Assist with reporting and tracking onboarding metrics to improve efficiency and client satisfaction.
- Maintain compliance with company policies and industry regulations related to client agreements and onboarding.
Qualifications :
- 2 years of experience working in a similar role within the real estate industry/property management (nonnegotiable).
- Strong attention to detail and organizational skills ensuring accuracy in documentation and processes.
- Experience in customer onboarding administration or contract management is a plus.
- Exposure to real estate property management or a related field is preferred.
- Excellent communication skills and a customerfirst mindset with the ability to build positive relationships.
- Ability to manage multiple tasks efficiently prioritize effectively and work collaboratively in a fastpaced environment.
- Comfortable using digital tools CRMs and other technology platforms to maintain accurate records and streamline processes.
- A problemsolving mindset with the ability to identify inefficiencies and contribute to process improvements.
