Assistant Director Shipping Receiving & Distribution
Department:Mail Imaging & Printing Services
Location: Columbia MO
Type: Staff Fulltime
Pay: $49201 to $55000 per year (Pay range may vary based on geographic location)

Job Summary:
The Assistant Director for Mail Imaging and Print Services (MIPS) is responsible for overseeing daily operations and management of the institutions centralized receiving shipping mail processing and distribution services. This position ensures the efficient and accurate handling of all incoming and outgoing shipments manages the logistics team and supports the development of strategies to improve operational efficiency. This role involves supervising staff coordinating logistics ensuring compliance with relevant regulations maintaining high standards of service and overseeing the administration of systems and equipment.

Essential Functions:
  • Perform job duties in accordance with Columbia Colleges vision mission and values and contributes to the development of the Mail Imaging & Printing Services Department.
  • Practice superior customer service.
  • Fulfill additional responsibilities as assigned.
  • Display respect and civility to all constituencies in all communications.
  • Attend work timely and on a regular basis during the established hours of operation; work additional hours as business necessitates.
  • Oversee the receipt inspection and distribution of all incoming shipments.
  • Manage the shipping of outgoing materials ensuring timely and costeffective delivery.
  • Supervise the processing and distribution of institutional mail for students faculty and interdepartmental correspondence.
  • Coordinate with vendors carriers and other external partners to optimize logistics.
  • Ensure proper documentation and tracking of all shipments and deliveries.
  • Ensure compliance with federal state and local regulations related to mail shipping and receiving.
  • Manage document imaging processes to ensure accurate and timely digitization of inbound student records.
  • Oversee the use of imaging software and equipment to maintain highquality digital records.
  • Ensure that document imaging practices comply with institutional policies and regulations.
  • Maintain accurate records and prepare reports as required.
  • Monitor expenses and identify opportunities for cost savings.
  • Assist with monthly accounting procedures and system generated reporting.
  • Oversee the administration and maintenance of logistics and mail systems.
  • Work closely with technology services to ensure that all systems are uptodate and functioning properly.
  • Implement new technologies and systems to improve efficiency.
  • Manage the inventory maintenance and repair of all equipment used in receiving shipping and mail services.
  • Ensure that all equipment is in good working condition and meets safety standards.
  • Implement and enforce safety protocols to protect staff and materials.
  • Hire train and evaluate central receiving mail processing and distribution staff.
  • Develop work schedules and assign tasks to ensure efficient operations.
  • Foster a positive work environment and promote professional development.
  • Address inquiries and resolve any issues related to shipping receiving or mail services in a professional and timely manner.

Position reports to: Senior Director Marketing Mail Imaging & Print Services

Required Core Competencies and Professional Experience:
  • Ability to fluently read write and understand the English language.
  • Proficiency with the following but not limited to: active listening; speaking; writing; critical thinking; judgment and decision making; monitoring; reading comprehension; time management; coordination; and management of personnel resources.
  • Proficiency for using a variety of computer and technologyrelated software and equipment including Microsoft Office products and database systems.
  • Proficiency in using webbased technologies including database systems.
  • Ability to work independently and in a team environment with or without direct supervision.
  • Excellent communication interpersonal customer service and organizational skills.
  • Ability to identify issues and efficiently bring about resolutions demonstrating an ability to make sound decisions that impact both the department and institution.
  • Capacity to monitor and develop efficiencies to achieve optimum system performance and resource utilization.
  • Capacity to create initiate and provide training regarding operational procedures with a keen ability to communicate ideas and clearly provide instruction.
  • Excellent resource and time management skills.
  • Experience with shipping and receiving applications for both inbound and outbound solutions.
  • Knowledge of postal and commercial shipping methods procedures and regulations.
  • Understanding of advanced capture document imaging methods and content management systems.
  • Experience with student information systems and working in a college environment.

Required Professional Certification(s): No In:
Preferred Level of Education: Bachelors Degree In: Business Administration Logistics Management Information Systems
Preferred Professional Certification(s): Yes In: USPS Certified Mailing Professional
Other Requirements: Ability to satisfy within the parameters set by the College and consistent with applicable federal state and local laws a criminal background check as a condition of employment.

Special Requirements (if any):
  • Valid Missouri Driver License.
  • Must meet and maintain requirements as an approved driver for Columbia College.
