Job Description

Austin Bridge & Road is looking for a highly motivated proactive Executive Administrator & Office Manager to support our executive leadership team while ensuring our office runs smoothly and efficiently at our headquarters in Coppell Texas. This role requires exceptional attention to detail strong communication skills and the ability to manage multiple priorities in a fastpaced environment. The ideal candidate will be a selfstarter with an unmatched work ethic capable of recognizing and addressing the needs of the executives and the office without requiring micromanagement. This individual must approach their role with utmost professionalism and humility creating a positive and wellfunctioning workplace.

Responsibilities:

Executive Administration:

  • Provide administrative support to executive leadership.
  • Manage and coordinate executives schedules for optimal time allocation and meeting prioritization.
  • Prepare and organize meeting agendas materials and followup notes.
  • Handle confidential information with discretion.
  • Draft and edit correspondence reports and presentations.
  • Assist in planning and coordinating companywide events and leadership initiatives.

Communication Coordination:

  • Assist in preparing and distributing executive communications such as memos emails and presentations.
  • Serve as the primary liaison between executives and internal/external stakeholders.
  • Work seamlessly with all departments to ensure officerelated needs are met.

Process Improvement and Efficiency:

  • Continuously assess and enhance office processes to improve productivity and reduce operational costs.

Office Management:

  • Oversee daytoday office operations to maintain a wellorganized efficient and welcoming environment.
  • Manage relationships with office vendors including supplies maintenance and service providers.
  • Coordinate office events teambuilding activities and companywide meetings.
  • Coordinate with Corporate Facilities Management for all facilityrelated issues.
  • Ensure facilities and office equipment are adequately maintained and address any issues promptly.
  • Monitor and track office expenditures identifying costsaving opportunities and ensuring efficient use of resources.
  • Prepare and present regular budget reports to executive leadership highlighting key financial metrics and variances.
  • Negotiate contracts with vendors and service providers to secure favorable terms and pricing.

Team Management:

  • Supervise and mentor the receptionist providing clear expectations and development opportunities.
  • Delegate office management tasks as appropriate.
  • Foster a collaborative and positive culture within the administrative team.

Qualifications:

  • 5 years of experience in executive administration office management or a similar role.
  • Proven ability to manage multiple priorities with strong organizational and timemanagement skills.
  • Excellent written and verbal communication skills.
  • High level of professionalism confidentiality and discretion.
  • Strong problemsolving skills and a proactive solutionsoriented approach.
  • Experience managing direct reports and fostering team growth is a plus.
  • Proficiency in Microsoft Office Suite and other productivity tools.

Requirements:

  • Proven ability to coordinate executive schedules prepare detailed meeting materials and ensure efficient time management for leadership.
  • Excellent written and verbal communication skills with the ability to effectively liaise with internal and external stakeholders while maintaining professionalism.
  • Demonstrated success in overseeing office operations optimizing processes for efficiency managing budgets and supervising team members to foster a positive workplace environment.
