Job Description

The Associated Students of the University of Nevada is made up of every undergraduate student at the University of Nevada. ASUN provides a means for students to voice concerns and address issues at the university local state national and international levels.

Responsibilities

The duties of the Assistant Director of Clubs and Organizations are as follows:

  • Assistant Director of Budget and Student Event Advisory Board (SEAB)

  • To manage operations of ASUN Club Support Funding

  • To manage the budget of ASUN Club Support Funding

  • To track information and data related to the requesting allocation spending remittance and status of ASUN Club Support Funding by individual clubs and club coalitions

  • To assist the Director of Clubs and Organizations in account management and financial advisement of ASUN recognized clubs and organizations

  • To act as a liaison between the Department clubs and SEAB

  • To assume the duties and responsibilities of the Director in the Directors absence

  • To act as a liaison between the Department and Central Station

  • Any other duties as assigned by the Director

  • Responsible to attend all ASUN retreats and trainings as decided by the Director of Clubs and Organizations and the Director of Executive Outreach

  • Shall be required to attend scheduled Department of Clubs and Organizations meetings unless the presiding officer grants an excused absence prior to the meeting convening

  • Shall serve as a liaison with the Student Events Advisory Board (SEAB) including attending SEAB meetings managing the club event schedule and assisting clubs with event process/logistics

  • To attend Student Events Advisory Board meetings for the purpose of funding proposals and club advisement

  • Supporting clubs with funding questions SEAB questions and event assistance necessary for the success of the clubs

  • Report to the commission prior to funding hearings with club SEAB information to allow commissioners to proactively reach out to clubs

  • To be present at funding hearings for ensuring clubs have applied and attended SEAB

  • To track club events scheduled in order to ensure clubs are following correct processes and ensuring success.

  • Assistant Director of Club Renewal and Interns

  • To oversee the club renewal process and delegate tasks to the commission

  • Work with the CSE Assistant Director of Clubs and Organizations as well as the Club Engagement Assistant in the club renewal process

  • Oversee the Department of Clubs and Organizations Internship

  • Any other duties assigned by the Director

  • Responsible for attending all ASUN retreats and trainings as decided by the Director of Clubs and Organizations and the Director of Executive Outreach

  • The Assistant Director shall be required to attend scheduled Department of Clubs and Organizations meetings unless the presiding officer grants an excused absence prior to the meeting convening.

  • The Assistant Director of Club Renewal and Interns shall oversee the Department of Clubs and Organizations Internship Program responsibilities including hiring interns managing interns and creating/executing the curriculum for Department interns

  • To review Clubs and Organizations Internship candidates for eligibility with the assistance of the Director and the administrative faculty of the Center for Student Engagement

  • To plan organize and execute the curriculum of the Department of Clubs and Organizations Internship Program to include:

  • Producing the education components throughout the program to include sentiments such as: starting a club club renewal club resources and resource requests club support funding applications and hearings club funding SEAB club travel claims etc.

  • Presentations or guest speakers that increase the learning mission of the programs

  • Coordinating a mentor system where the Director Club Commissioners and Assistant Directors are matched to mentor and educate the Department Clubs and Organizations Intern(s)

  • The Assistant Director of Club Renewal and Interns shall oversee the Department of Clubs and Organizations Club Renewal processes including upholding communication and maintaining structure with the Department clubs and Center for Student Engagement

  • Delegating club renewal tasks to commissioners for completion and assigning deadlines for clubs to have a timely renewal period

  • Responsible for holding clubs accountable for completing renewal tasks and following up with clubs for missing items or indication of completion

  • Assist with all processes regarding registrations and renewal preparation when necessary

  • Communicating with clubs and the Department of renewal processes including:

  • Sending email checklists with necessary tasks needed for completion by delegating email checks to commissioners

  • Communication with the commission to ensure constituents are being reviewed as well as all other renewal tasks

  • Ensuring clubs have completed tasks with all required information and scores by delegating task checks to commissioners.

Required Qualifications

During my tenure in this appointed position I agree to adhere to the following guidelines:

  • Candidate must be enrolled at the University of Nevada Reno

  • Maintain a 2.00 GPA and be enrolled in at least 7 credits

  • Perform all duties and instructions outlined by the ASUN Governing Documents

  • Uphold the Nevada Student Code of Conduct

  • Meet all deadlines set forth attend all required meetings and training work scheduled hours properly complete and submit HR paperwork on time assist in the promotion of the mission of ASUN and Nevada behave in a manner that is ethical maintain a high level of integrity

  • Other duties as called upon by my position

I understand if I do not adhere to the items outlined in this agreement or what is stated in the ASUN Governing Documents my position may be subject to disciplinary action by the ASUN Judicial Council and/or the University of Nevada.

Preferred Qualifications

  • Assistant Director of Budget and Student Event Advisory Board (SEAB)

  • Prior experience in ASUN as an officer or intern

  • Previous management mentorship or leadership experience with peers

  • Demonstrated track record of excellence in student outreach with clubs and organizations

  • Experience with budget management and financial planning through course of study previous work experience or extracurriculars

  • Solid understanding of the funding processes available to student clubs and organizations including funding requests fundraising opportunities and event planning guidelines

  • Strong organizational and management skills to manage coordination of funding requests within the department

  • Serviceoriented approach to supporting the needs of club leaders and members through responsiveness to inquiries willingness to provide assistance and a proactive approach to addressing concerns or issues

  • Demonstrated commitment to diversity equity and inclusion in providing support services to clubs and organizations

  • Flexibility and adaptability within role; ability to time manage and prioritize tasks

  • Willingness to mentor an intern during the fall and spring semesters

  • Commitment to advancing the foundational pillars of the Home Means Nevada Platform through:

  • Enhancing communication between clubs and club commissioners by providing transparent communication methods to offer necessary support and resources

  • Promoting awareness of funding sources and initiatives available to registered clubs and organizations

  • Expanding knowledge of club processes through diverse formats such as social media and additional online spaces

  • Working with the President and Vice President to address institutional barriers impacting clubssuch as room reservations fundraising restrictions and limited fundingby developing advocacy strategies for University Administration

  • Assistant Director of Club Renewal and Interns

  • Prior experience in ASUN as an officer or intern

  • Previous management mentorship or leadership experience with peers

  • Demonstrated track record of excellence in student outreach with clubs and organizations

  • Strong organizational and management skills to manage and track processing of club registration and records within the department

  • Serviceoriented approach to supporting the needs of club leaders and members through responsiveness to inquiries willingness to provide assistance and a proactive approach to addressing concerns or issues

  • Demonstrated commitment to diversity equity and inclusion in providing support services to clubs and organizations

  • Flexibility and adaptability within role; ability to time manage and prioritize tasks

  • Strong planning skills to outline learning outcomes and educational material within the ASUN Clubs and Organizations Internship Program and create systems that drive intern retention and professional development
