Administrative Assistant Continuing Education SSC Program St. Louis (K Level 4

The Waterloo Catholic District School Board serves over 27000 learners and provides services to students in 50 schools (Kindergarten to Grade 12 and adult learners) across the Waterloo Region.

General Description of Duties:


  • Maintain a high volume of student files with accuracy confidentiality and through term and continuous registration
  • Use a variety of different software (Aspen Excel Microsoft Suite) efficiently and accurately
  • Responsible for student registration for secondary credit day classes and summer school credit programs and to support registration in other programs as needed at peak times
  • Responsible for attendance tracking processes and report card cycles for secondary school credit courses throughout the year
  • Create and maintain Aspen records and reports including but not limited to student registration and attrition data
  • OCAS (Ontario College Application Services) uploads and reporting
  • PLAR (Prior Learning Assessment and Recognition) processing and entry
  • OSR (Ontario Student Records) processing and student file management
  • Provide support to Guidance Admin Assistant at peak times throughout the year
  • Interact professionally with board employees students general public representatives from professional agencies government and other social service establishments
  • Perform reception desk duties including welcoming/directing of students and visitors processing student payments recording and distributing messages and responding to inquiries for all programs offered at St. Louis as needed
  • Other general office duties including filing receiving/sorting mail collecting/distributing parcels word processing
  • Other duties as assigned.


Minimum Requirements:

  • Two 2 year college diploma in a related field in either Business Administration or Office Administration
  • 12 years similar work experience
  • Excellent time management organizational and multitasking skills
  • Ability to work and communicate effectively in a busy office environment with frequent interruptions and a variety of due date timelines
  • Strong communication and interpersonal skills with external and internal contacts including those who speak English as a Second Language
  • Maintain confidential information appropriately and consistently
  • Working knowledge and demonstrated ability in Outlook Word Excel and ASPEN


Desirable Assets:

  • Ability to work independently and as a team player
  • Ability to demonstrate initiative good judgement positive problem solving and resourcefulness skills
  • Strong communication and interpersonal skills with external and internal contacts including multilanguage learners
  • Previous experience working in an adult learning environment


Hourly Rate: $28.58 to $30.08 per hour


Hours of Work: Fulltime 35 hours per week
MondayFriday: 8:00 am 4:00 pm


Location: St. Louis Adult Learning Centres Kitchener Main Campus

Weeks/Year: 52weeks/year

Effective Date: June 23 2025
