Job Description

Position Summary

JOB SUMMARY:The Transportation and Facilities Supervisor is responsible for managing transportation logistics and coordinating facilities operations at Gadsden State Community College. This role ensures the efficient and timely distribution of mail proper scheduling and maintenance of college fleet vehicles facilities management of meeting spaces and oversight of security systems including surveillance cameras and keyless entry access. The supervisor will work closely with campus security (Police and Public Safety) administrative departments and external service providers to ensure compliance with college policies and enhance operational efficiency.
This position requires strong organizational technical and communication skills as well as the ability to multitask effectively while maintaining high standards of security accuracy and accountability in all responsibilities.

Essential Duties and Responsibilities

DUTIES:
Transportation

  • Manages the Transportation Department budget
  • Manages open purchase orders
  • Schedules the use and maintenance of all college fleet vehicles
  • Oversees the fueling operations for all collegeowned fleet vehicles
  • Maintains accurate records of vehicle usage repairs and inspections
  • Ensures compliance with all transportation policies and procedures
  • Assists with transportation logistics for special events and departmental needs
Mail Operations
  • Manges the Mail Operations budget
  • Manages open purchase orders
  • Supervises the campus mail service staff ensuring efficient internal mail transfer operations
  • Oversees the timely distribution of incoming and outgoing mail across all campuses
  • Serves as the primary liaison with postal services including USPS UPS FedEx and other couriers
  • Signs for and processes incoming mail that requires special handling
  • Provides backup support for all mailrelated duties as needed
Security Systems
  • Monitors security cameras across all Gadsden State campuses to ensure safety and compliance.
  • Assists with the administration of Keyless Entry & Camera Systems including the Nside platform.
  • Provides access control support for new and existing security systems.
  • Collaborates with campus security law enforcement and IT personnel to enhance surveillance and access control.
  • Assists IT with maintenance and repairs of security camera and access control systems.
Facility Coordination
  • Oversees the meeting spaces in Inzer Hall Science Building and Beck meeting spaces ensuring compliance with fire code policies and safety requirements
  • Manages the booking and evaluation of event functions determining the necessary setup and cleanup details before during and after events
  • Ensures the setup of appropriate equipment technical support and services needed during events
  • Creates event schedules
  • Coordinates with custodial and security staff to assign personnel for events
  • Maintains accurate records for various facilities
  • Provides facility access for prospective rental clients
Administrative & Compliance Duties
  • Responsible for Alabama Department of Environmental Management (ADEM) reporting
  • Composes routine correspondence related to transportation mail operations and security systems
  • Assists with the preparation of purchase order requests
  • Maintains files forms and records related to assigned service areas
  • Prepares reporting data
  • Conducts inventory checks on supplies and equipment
  • Performs other duties as assigned by administration
  • Serves on college committees as assigned
  • Complies with all policies of the Alabama Community College System and the College

Qualifications

QUALIFICATIONS:

  • Associates degree from an approved U.S. Department of Education accredited institution required
  • Valid Commercial Drivers License (CDL) required
  • Two 2 years experience in transportation supervision required
  • Experience in facilities management or security monitoring preferred
  • Budgeting experience preferred

  • Proficiency in basic computer skills including email and data entry
  • Ability to coordinate assigned activities
  • Ability to operate security cameras and keyless entry systems
  • Strong organizational and communication skills
  • Ability to establish and maintain effective working relationships with other employees and the public
  • Ability to maintain confidentiality of information
  • Ability to work a flexible schedule including nights and weekends

SALARY:Salary Schedule Salary Schedule E2 03 $45220 $62710. Salary will be based on VERIFIED education and years of VERIFIED related experience that is stated on the initial job application only.

Salary Calculation:For all positions on all Salary Schedules the salary amount for the selected applicant is determined by step placement on the applicable schedule. Step placement is dependent upon the following: (a) all work experience in public education in Alabama and (b) all other work experience outside of public education in Alabama that in the sole judgment of the College directly relates to the requirements of the position. The applicant selected for the position must provide written verification(s) of this work experience within the time provided herein if such experience is to be considered in determining their initial step place on the Salary Schedule.
Format for Work Experience Verifications: Work experience verifications should be in the form of verification letters from employers and must include complete employment dates job title(s) job duties and an indication whether such employment was fulltime or parttime and if parttime the average number of hours worked each week. The letters should be on official letterhead and contain an authorized personnel signature. The Colleges official employment verification form is also acceptable and is available upon request. If an employment verification cannot be obtained due to a legitimate reason for purposes of meeting minimum requirements an applicant may submit copies of other trustworthy documentation such as appointment letters contracts pay stubs or W2 forms documenting the term of employment. However such documentation is generally insufficient for salary calculation purposes if job duties and dates of employment are not selfevident in the documentation.
