Hatch is seeking aFacilitiesCoordinatorin Pittsburgh FacilitiesCoordinatorwill be responsible for meeting with managers or supervisors to review the options and determine the best solution regarding space management planningand coordination of facilities operations for Hatch offices throughout the USA.
ROLEOVERVIEW:
- Provide assistance to employees as required.
- Meet with office leadershipto review the options and determine the best solution regarding space management for the business units or projects.
- Meet with HR andoffice leadershipwith regards to employee placement within their respective units/projects when a location change is required.
RESPONSIBILITIES:
- Maintaining a safe and clean environment. Available 24/7 with direct communication with office leadership. This also includes the Landlord Representative for emergencies.
- Daily office Walk Through Checklist completed at the start of day: Comprehensive Checklist
- Report or correct any nonconformances on checklist to office leadership or Landlord when appropriate.
- Communication to the office of any notices affecting access to the building by the Landlord.
- Any Emergency needs to be reported to office leadership that may affect the Business and Landlord.
- Record Storage (Iron Mountain etc.
- Coordination of moves within or between company buildings.
- Prepare move checklists.
- Provide Monthly headcount reports to the Global Facilities team.
- Send out emails to employees affected by moves (distribution list).
- Coordinate movers to complete the moves.
- Coordinate with IT for any office requirements.
- For unit moves with greater volume than appropriate for inhouse facility representatives an outside moving company is called and supervised. Including weekends when applicable.
- Update and maintain floor plan using AutoCAD.
- Prepare Yearly Capital budgets for spending and recommendations.
- Obtain approval for Capital Expenditure as required.
- Obtain purchase orders from Global Facilities.
- Receive review and process invoices from vendors as needed
- Assist with US Facilities Manager in setting up national accounts for office services with vendors when needed.
- Work with the office cleaners to ensure the office environment is always clean and tidy and all janitor equipment is stored.
- Contact and set up appointments with contractors for Facilitys needs.
- Ensure all contractors on site follow Hatchs Safety procedures as well as local bilaws.
- Adhere to all Facilities procedures in place.
- Assist the local Health and Safety committee members with monthly building inspections.
- Responsible for the operation and maintenance of the security access cards.
- Report to Facilities Manager US Region on requirement for additional space and coordinate all required information for such expansion
- Communicate with the landlord on any maintenance repair or new construction as needed.
- Other duties as required.
- Maintain parking pass registration.

QUALIFICATIONS:
- Community College Diploma or relevant work experience in Facilities; Excellent capability with MS Office (Word Excel Outlook)
