Reports To:Director of Athletics & BSC

Olympic College is seeking to hire an Assistant Athletic Director to join the Athletic Department. This position plays a vital role in advancing the Athletic Department and supporting the broader Division of Student Development and Engagement by fostering leadership development with student athletes and enhancing departmental capabilities. Through effective management of the daytoday operations within Athletics this role ensures seamless functioning allowing the Athletic Director to focus on strategic planning community outreach and highlevel initiatives that drive the departments mission forward. Additionally this position contributes to creating an enriching environment for studentathletes aligning departmental activities with the divisions goals for student success engagement and holistic development. The position requires the ability to work extended hours and be on call nights and weekends especially during athletic events tournaments and other recreational activities.

Responsibilities:
The main purpose of the Assistant Athletic Director is to support the Director of Athletics in the management of daytoday operations within the athletic department with a focus on enhancing the studentathlete experience promoting academic and athletic excellence and contributing to the overall success of the institutions athletic programs. The position may also oversee specific teams or sports manage athletic facilities handle budgeting and resource allocation and ensure alignment with the institutions mission and values.

Scope Of Impact:
The Assistant Athletic Directors role spans across all areas of the athletic department with a direct impact on studentathletes coaches staff and the broader campus community. The position interacts with faculty administrators and external stakeholders contributing to the institutions goals of academic excellence student engagement and community involvement. This role directly supports the mission of the college by promoting the development of wellrounded studentathletes who excel in both their academic and athletic pursuits while embodying the institutions core values.

Contribution of Mission:
In alignment with the institutions mission to foster academic and personal growth the Assistant Athletic Director ensures that athletic programs are not only competitive but also focused on the holistic development of studentathletes. By maintaining a balance between academic success athletic performance and personal wellbeing the Assistant Athletic Director plays a pivotal role in enriching the campus experience supporting diversity and inclusion and reinforcing the institutions commitment to excellence both on and off the field.

Essential Functions

  • Under the direct supervision of the Athletic Director this position is responsible for a variety of functions within the management and operation of the athletic department.
  • Gathers travel expenditures including purchases and receipts for Athletic Department and Fitness Center and conduct monthly reconciling of the purchases ensuring appropriate documentation and chartings.
  • Facilitate Van Fleet (Including Required maintenance and Use of vans across campus)
  • Conduct new hire training for all Athletics & Fitness Center Student Employees and as needed to ensure appropriate adherence to institutional procedures and policies.
  • Facilitate the hiring of all Athletics & Fitness Center Student Employees by collaborating with the career center to ensure the facility is appropriately staffed.
  • Create all content for Athletic Department Social Media platforms. Ensure consistent uploads and content production
  • Maintain Athletics Website ensuring accuracy and compliance with NWAC standards. Upload content timely and consistently that includes gameday summaries photos and rosters.
  • Create and maintain staffing schedules ensure all safety and security policies are met and improve facility and operational procedures as needed.
  • Serve as a member of the Student Affairs Leadership Team (SALT) by attending and contributing to updates to fitness center operations.
  • Serve as a member of the ERT (Emergency Response Team) attending meetings as scheduled maintaining required training distributed by Safety & Security assist in campus wide drills and emergency policies and procedures.
  • Support the Athletic Director in maintaining relationships with the Kitsap community. This will include attending meetings and events off campus returning calls and emails from external stakeholders such as youth sports groups and nonprofit organizations.
  • Assist Athletic Director in maintaining accurate and clear spreadsheet or tracking system to accurately monitor reporting to ensure compliance with state local North West Athletic Conference and federal regulations as well as other relevant requirements and submitting required data as needed.
  • Assist the Athletic Director with the creation and implementation of recognition activities including Hall of Fame Classes End of Year Banquet and NWAC level work groups or committees.
  • In coordination with other campus stakeholders (e.g. instruction facilities) coordinate the use of athletic facilities including the gym locker rooms batting cages fitness center and other oncampus facilities ensuring they meet the needs of studentathletes and recreational users. This includes off site facility use.
  • Coordinate the use of offcampus sites for athletic events and practices negotiating agreements and ensuring compliance with all relevant regulations and policies.
  • Provide administrative support for all intercollegiate athletic programs at Olympic College developing athletic and fitness center offerings that meet emerging student interests to broaden the array of opportunities for students.

Qualifications

Minimum Qualifications:

  • Bachelors degree from an accredited college or university.
  • Minimum of 2 years of experience in athletic administration coaching or a related field.
  • Minimum of 2 years of experience in supervising and managing staff.
  • Minimum of 2 years of experience working directly with diverse student populations.
Desired Qualifications:
  • Previous experience working in a collegiate athletics environment.
  • Experience overseeing athletic and recreation facilities including gymnasiums batting cages fitness centers athletic fields and other similar facilities.
  • Experience with budgeting fundraising and development efforts to support athletic programs and scholarships.
  • Professional certifications in athletic administration or related areas.
Working Conditions
Work Setting:
The Assistant Director primarily works within a collegiate campus environment overseeing athletic facilities and events. Hazards may include physicalrisks associated with athletic activities such as injuries during sports events or fitness training. Additionally the role involves working in an office setting collaborating with staff and stakeholders and managing administrative tasks.

Work Schedule:
The position requires flexibility in working hours including the ability to work extended hours and be on call nights and weekends particularly during athletic events tournaments and other recreational activities. The Assistant Director may need to adjust their schedule to accommodate evening events weekend competitions and occasional travel.

Travel Requirements:
Travel is required. The extent of local regional and national travel will vary depending on the departments needs and programmatic activities. The Director may need to travel to attend athletic competitions conferences meetings with external partners and recruitment events. Travel may include both local and regional destinations with occasional overnight stays.

Tools and Equipment:
The Director utilizes various tools and equipment to perform their duties including computers software applications for budgeting and scheduling communication devices and office supplies. Additionally they will oversee the use of athletic equipment facility maintenance tools and other resources necessary for managing athletic and recreational programs.

This isa fulltime exempt position scheduled to work Monday through Friday. The salary for this position is $73752 $81127annually which includes a generous benefits package that includes the following.
