Job Title:

Accounts Payable Clerk

Work Status:
Fulltime Forty 40Total weekly hours Monday through Friday; exclusive of 30 to 60minute lunch.

Job Objective:

The Accounts Payable Clerk is responsible for timely and accurate processing of records related to purchase orders and accounts payable; maintenance of audit files; communication with faculty staff and vendors.

Responsible to:

Business Manager

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Process record and post purchase orders invoices statements and other materials related to accounts payable.
  • Prepare a weekly warrant of payments for review by the Business Manager and for submission to the School Committee.
  • Maintain files of Business Office financial and accounting records
  • Communicate in a professional and courteous manner with school personnel and vendors as necessary to ensure timely payment of invoices;
  • Actively work to resolve accounts payable issues involving vendors and school personnel;
  • Review vendor statements for past due invoices and account issues;
  • Perform all other assignments including clerical tasks as directed by Supervisor and/or his/her designee.

Tools and Equipment Used:

Telephone fax machine calculator copier scanner electronic mail personal computer MUNIS software Crystal Reports Excel and all relevant PC and/or Mac software. (or other tools as appropriate to the job)

DESIRED MINIMUM QUALIFICATIONS:

Education and Experience:

High School diploma; three years of experience in accounting or other financial position.

Necessary Knowledge Skills and Abilities:

Ability to:

  • work independently and manage multiple tasks in a fastpaced environment;
  • interact with school staff and administration;
  • handle stressful situations;
  • work flexibly in a team environment;
  • communicate clearly both orally and in writing;
  • maintain manage and organize detailed records; and
  • meet deadlines.

TERMS OF EMPLOYMENT:

Yearround position as per the Secretaries contract.

Business Manager.
