The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for the positions of Corrections Specialist 1. This position is located at DOC Headquarters located in Tumwater Washington. This opportunity is only open to current Department of Corrections employees.

The Corrections Specialist 1 (CS1 reports to the Statewide Visit Manager within the Statewide Visit Unit under the Director for Correctional Services Correctional Programs and Services Unit. In this position the CS1 supports the mission of the Department by positively engaging with family and friends of incarcerated individuals by acting as the video visiting point of contact for the agency incarcerated individuals and visitors. Additional tasks include preparing cases for the Visit Multidisciplinary Team (VMDT) documents and coordinating meetings as well as assisting the Extended Family Review Committee (EFV). These connections support successful reentry through family reunification and transition support to reduce recidivism within our communities.

The CS1 supports safer operations through accurate thorough and reoccurring background checks validation of information received review of vital records and processes to reduce threats to the orderly operations within facility visit programs. Additionally this position assists in assessing possible video visit violations and provides documentation for facility Superintendents/designees to address misconduct within the visit program and during video visits.

Duties

Visit/EFV application processing/Video visit review

Tasks include:

  • Review applications forms and other documents submitted by visitors to ensure they are complete and all necessary documentation is provided.
  • Submit completed EFV packets to facility counselors for review at Facility Risk Management Team level
  • Track distributed EFV packets sent to facilities; perform follow ups; notify supervisor when delays or obstacles occur
  • Approve or deny visiting/EFV applications using knowledge and interpretation of rules and procedures; complete required correspondence.
  • Perform data entry of each visitors information into the visit database (CePrison) as well as placing documentation in the incarcerated individuals electronic imaging file.
  • Perform routine updates of visitor information including background check updates name and address changes and removal of visitors by inmate or visitor request.
  • Scan vital record documents into electronic file of individuals and immediately return documents to family members
  • Review video visits to ensure compliance with video visit expectations.
  • Utilize electronic systems (internal/external) to run full criminal history checks on visitors.

Respond to inquiries (electronic kiosk and phone calls) and written correspondence (email letters kiosk messages etc.

Tasks include:

  • Research and respond to visitor and Incarcerated Individual (I/I) inquiries related to Visiting.
  • Research and respond to inquiries from DOC staff other agency staff (DCYF etc. to explain and clarify policy requirement processes and procedures answer questions and/or direct inquiries as appropriate.
  • Elevate inquiries to supervisor as appropriate

General Office Tasks

Tasks include:

  • Develops maintains and revises basic office procedures related to job performance expectations.
  • Maintain efficient record keeping and document filing system; propose modifications and revisions as necessary.
  • Maintains tracking system and statistics related to EFV/visit unit functions.
  • Scans documents mails out correspondence coordinates with DOC Correspondence Unit as appropriate.

Qualifications


Required qualifications:

High School diploma or equivalent.

AND

Two 2 years paid or unpaid in a customer service setting.

AND

  • Able to operate office machines such as photocopiers and scanners voice mail systems and personal computers.
  • Answer telephone direct calls and take messages.
  • Maintain and update files mailing/emails and database systems generally utilizing a computer but on occasion manually.
  • Communicate with general public employees and other individuals to answer questions explain information and address complaints over the phone and in writing.
  • Open sort and route incoming mail answer correspondence and prepare outgoing mail within specific timelines.
  • Knowledgeable of administrative and clerical procedures and systems such as word processing managing files and records office procedures and terminology.
  • Knowledgeable of the structure and content of the English language including the meaning and spelling of words rules of composition grammar.
  • Excellent time management skills in order to meet specified production quotas deadlines and other work goals and expectations.
  • Strict adherence and observation of confidentialitythis position is responsible for processing handling and reviewing highly sensitive information.

Preferred/Desired Qualifications:

  • Ability to research court decisions documents or other information related to criminal background checks through the OMNIXX database.
  • Ability to quickly determine how to obtain information from all relevant sources in order to complete application processing in a timely manner.
  • Resolves problems and responds to inquiries regarding rules regulations policies department procedures and department services; answers telephone; specifically related to visit application processing.
  • Analyzing information and evaluating results to choose the best solution to resolve problems.
  • Using relevant information and individual judgment to determine and ensure all approved visit applications are in compliance with laws regulations and Department policies.
