Job Overview
We are looking for a US HR Onboarding Specialist to manage our onboarding process from start to finish. This is a workfromoffice position located in Cybergate Way Hitech City. You will play a crucial role in welcoming new employees and ensuring they have a smooth transition into their roles.
Qualifications and Skills
- Proven work experience as an US HR Onboarding Specialist or in a relevant HR role
- Handson experience with Human Resources Information Systems (HRIS)
- Basic knowledge of labor legislation
- Solid communication skills (verbal and written)
- Team spirit
- An ability to handle sensitive and confidential information
Roles and Responsibilities
- Create clear policies and employee handbooks that explain company operations
- Craft and send emails with information about the company and position including work schedules dress code and parking options
- Prepare onboarding kits
- Welcome new employees upon their arrival and give them an office tour
- Introduce team members
- Gather and process paperwork like contracts and nondisclosure agreements
- Coordinate company presentations and product demos
- Inform employees on their first tasks (e.g. which programs to download and how to activate their accounts)
- Ensure new hires have technical assistance to properly set up their hardware and software
- Distribute manuals passwords and guidelines as needed
- Address new hires queries regarding their contracts and payroll
- Handling endtoend onboarding and being the first point of contact for employees
- Sending onboarding paperwork tax forms I9 forms client docs etc. to new hires
- Initiating background checks
- Make a welcome call to consultants for induction and explain the policies and benefits
- Working with the team to achieve efficient onboarding and supporting them at every point. Reviewing their onboardings and sharing final approvals
- Responsible for submitting audit reports to clients
- Handle BGC screenings daily. Agencies used for screenings are Global HR First Advantage Hire Right Sterling
- Provide training to new joiners and review their progress
- Participate in client meetings for any new changes to the system
- Interact with clients for any employmentrelated concerns
- Track timesheets weekly i.e. attendance management to ensure timely payment to candidates and timely billing from clients
- Being the first point of contact for employees responsible for handling grievances and solving their issues on a timely basis
- Issue advance checks when needed
- Keep track of their leaves and make required adjustments along with informing the client if they are not informed
- Get in touch with clients in case of internal issues that bother contractors
- Create a personal database of joined employees along with open issues
- Complete exit formalities
